On this tab the general banking details are setup.

 

hmtoggle_plus1Account Manager

The Account Manager is the person responsible for the internal bank account.

 

The account manager is responsible for allocating bank transaction profiles to employees.

It is populated with the surname, first name, middle initial, and the employee ID from the Employee Master table.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

 

hmtoggle_plus1Account Number

This displays the Bank Account Number for the bank branch selected from the Bank Branch Account table. It populates only with account numbers for the Bank Branch selected where the account does not exists in the external org bank details table and therefore does not belong to a specific external organisation.

 

It is an alphanumeric field with a maximum length of 20 characters.

The user must have a security profile linked to the function Bank Internal with access allowed of Add.

 

The "Add" button is enabled when a new bank code is entered.  When the "Add" button is clicked, the new values are inserted into the Bank Internal table.

 

hmtoggle_plus1Advance Suspense Account Code

This is the account code to journalise interim costs when advance bank transactions are done. It is Populated with all account codes and description from the Account Codes table where:

 

1.  The account code is active. (Status of "A")

2.  The class is Balance Sheet "B".

3.  And the status change date is less than or equal to today's date.

4. The Account Code application 'Advance Suspense' is selected, also see Account Code Application Maintenance.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (optional).

 

Important: All banks should use the same advance suspense account code.

hmtoggle_plus1Bank Branch

This combo is populated with all the bank branches from the bank branch, bank branch account and External Org Bank Details tables, where the branch has a record that are not linked to a specific external organisation. Displaying the bank branch, bank name and branch name.

 

This is an optional field.

 

When Bank Branch is not selected the following options will be disabled:

Cheque Payment Allowed,

Credit Card Payments Allowed,

Transfer Payments Allowed.

 

hmtoggle_plus1Bank Name

This field populated with the Name of the Bank from the Bank Branch table. The name can be the type of bank it represents in the company e.g Petty Cash or Social Fund or it can be the name of the financial institution  e.g ABSA or Standard Bank of South Africa.

 

hmtoggle_plus1Branch Name

Displays the Branch Name of the Bank Branch selected. This field is always disabled and populates from the Bank Branch table.

 

hmtoggle_plus1Change Button

The user must have a security profile linked to the function Bank Internal with an access allowed of Change.

 

The "Change" button is enabled when an existing bank code is changed. When the "Change" button is clicked, the Bank Internal table is updated with the new values entered.

 

hmtoggle_plus1Cheque Range Frames

When payment is done by cheque, up to 3 different ranges of cheques can be defined. This accommodates multiple chequebooks.

 

Current Cheque Number Range 1:

The field will be disabled until 'Cheque Payments Allowed ' is checked. The default value will be '1'.

 

From Cheque Number Range 1:

The field will be disabled until 'Cheque Payments Allowed' is checked. The default value will be '1'.

 

To Cheque Number Range 1:

The field will be disabled until 'Cheque Payments Allowed' is checked. The default value will be '1'.

 

Current Cheque Number Range 2:

The field will be disabled until 'Cheque Payments Allowed' is checked, and the 'To Cheque Number Range 1' is greater than 1. The default value will be '1'.

 

From Cheque Number Range 2:

The field will be disabled until 'Cheque Payments Allowed' is checked and the 'To Cheque Number Range 1' is greater than 1. The default value will be '1'.

 

To Cheque Number Range 2:

The field will be disabled until 'Cheque Payments Allowed' is Checked and the 'To Cheque Number Range 1' is greater than 1. The default value will be '1'.

 

Current Cheque Number Range 3:

The filed will be disabled until 'Cheque Payments Allowed' is checked and the 'To Cheque Number Range 2' is greater than 1. The default value will be '1'.

 

From Cheque Number Range 3:

The field will be disabled until 'Cheque Payments Allowed' is checked and the 'To Cheque Number Range 2' is greater than 1. The default value will be '1'.

 

To Cheque Number Range 3:

The field will be disabled until 'Cheque Payments Allowed' is checked and the 'To Cheque Number Range 2' is greater than 1.  The default value will be '1'.

 

hmtoggle_plus1Credit Card Number

This is the credit card number for this internal bank. This field will only be enabled if the Credit Card Payments Allowed is checked.

 

hmtoggle_plus1Credit Card Expiry Date (mmyy)

This is the credit card expiry date as is printed on the credit card with the credit card number which is linked to this bank. This field will only be enabled if the credit card number exist and is then mandatory.

 

hmtoggle_plus1Counter Sales Allowed:

If selected, it will allow Over The Counter Sales against this bank.

 

hmtoggle_plus1Currency

This field indicate the Currency will be used when transactions is done, using this bank.

 

hmtoggle_plus1Current Receipt Number

This field keeps track of the current receipt number used for deposit bank transactions. The receipt number is updated after each deposit transaction is done.

 

It is a long integer field, with default value 1.

If checked the Bank will always be used to settle accounts with.

 

hmtoggle_plus1Delete Button

The user must have a security profile linked to the function Bank Internal with an access allowed of Delete.

 

This operation will not be performed if this Bank Code exists on any of the following tables:

hmtoggle_plus1General Ledger Account

This is the account that will be used to journalise all reconciled bank transactions for this specific internal bank. This is populated with the general ledger account, description, cost centre or division code from the Account and Account Codes tables where:

 

1. The status on the Account Codes table is Active "A' and the status change date is less than or equal to today's date;

2. the code on the Account table is equal to the code on the Account Codes table;

3. the status on the Account table is Active "A"

4. And the Status Change Date is less than or equal to today's date.

5. the Account Code application "Bank" is selected.

6. The account code are a divisional balance sheet account code.

 

When a new bank is created, a new GL account must be selected/ entered. It is an alphanumeric field with a maximum length of 10 characters.

 

hmtoggle_plus1General Ledger Suspense Account

This account will be used to journalise all unreconciled bank transactions for this specific internal bank. This is populated with the general ledger suspense account, description, cost centre or division code from the Account and Account Codes tables where:

 

1. The status on the Account Codes table is Active "A' and the status change date is less than or equal to today's date;

2. the code on the Account table is equal to the code on the Account Codes table;

3. the status on the Account table is Active "A"

4. And the Status Change Date is less than or equal to today's date.

5. The Account Code application 'Bank suspense" is selected.

 

This is a mandatory field. This account may not be the same as the General Ledger Account.

 

hmtoggle_plus1Payments Allowed Frame

If selected, it will allow the bank to make cash payments. This is a mandatory field. The default setting is "No"

 

hmtoggle_plus1        Cheque Payments Allowed

If selected it will allow the bank to make cheque payments.

The Cheque Range Frames will also be enabled. The Account Type of the Bank Branch selected need to be "cheques" to be enabled.

This is a mandatory field. It will be disabled when no Bank Branch is selected. The default setting is"'No".

 

If selected, it will allow the bank to make credit card payments. This is a mandatory field. It will be disabled if no Bank Branch is selected. The Account Type of the Bank Branch selected need to be credit card to be enabled. The default setting is "No"

 

If selected, it will allow the bank to make money transfers'. This is a mandatory field. It will be disabled if no Bank Branch is selected. The default setting is "Yes".

 

 

hmtoggle_plus1Receipts Mandatory

When checked, it indicates that receipts have to be issued whenever a payment is made into the Bank.

 

When unchecked, it indicates that receipts do not have to be issued when a payment is made into the Bank.

hmtoggle_plus1Reconcile Bank By Default

This tick box when clicked, will automatically reconcile the banks transactions. It is often used for applications like petty cash where transactions do not have to be reconciled against a bank statement. Banks where this is on do not need the General Ledger Suspense account.
