The Transaction Details tab is used to perform the actual bank transaction.  The 'Arrow' is clicked to indicate the transaction direction i.e. "Out of the Bank" to the "Beneficiary" or "Into the Bank" as received from a specified organisation, bank, employee etc.

 

Depending on the direction and the options selected the transaction will require entry of the payment method and other detail such as a beneficiary/received from. In the accounts grid, an account (or more than one account) must be specified as well as the amount, tax amount, tax code, requisition number (if applicable) and comments.

 

This function interacts with the Bank Internal function to validate whether cheque, credit card, cash or transfer payments, are allowed. Receipts are optional or mandatory and if the signed on user will be granted the right to perform the transaction in the capacity of having a valid bank transaction access profile

This grid is to specify the account(s) and/or requisition numbers(s) for each bank transaction. Multiple accounts/requisition can be specified for each bank transaction with a limit of 20 entries per transaction. The following columns are displayed in the grid:

 

PERCENTAGE INDICATOR

This column indicates the percentage of each amount in the line of the grid according to the total gross amount.

 

ACCOUNT

This field works in conjunction with the employee, organization and other concern options. Either the account number or Requisition number must be entered. It is populated with the account and description from the Account tables where the account code application is:

 

Bank to Account or

Account to Bank or

Bank to Employee or

Employee to Bank or

Bank to Other Concern or

Other Concern to Bank or

Bank to Organisation or

Organisation to Bank

 

is selected on the bank transaction to and from selection. Journals referencing this account include:

 

Debtors Settlement Journal

Creditors Settlement Journal

 

ACCOUNT DESCRIPTION

This is the description of the account selected from the account codes table. This field is disabled.

 

TOTAL AMOUNT

This is the total amount per line in the grid. This amount is tax inclusive.

 

AMOUNT

This is the amount exclusive of tax for the line in the grid.

 

TAX AMOUNT

This is the tax amount for the line in the grid.

 

TAX CODE

This is combo populates with all the Tax Codes from the Tax Code table with a status of active. The tax code for each transaction is deduced as follows:

 

If Requisition Applicable

 

?                If a requisition has been entered the tax code is deduced from the account code of the Employee Expense Requisition's account.

 

?                If a node exists on the Employee Expense Requisition then the Def Input Tax Code (for out of bank transactions) or Def Output Tax Code (for into bank transactions) of the node's division will be taken.

 

?                If a requisition and an account were entered then the tax code from the account code of the account entered will be taken.

 

Only Account Applicable

 

?                The tax code from the account code of the account entered is taken.

 

The Tax code is mandatory for the following bank transactions,

 

Bank To Employee (Advance = NO)

Employee To Bank (Advance = NO)

Bank To Account

Account To Bank

Bank To Other

Other to bank

 

TAX PERCENTAGE (%)

This field displays the valid tax percentage for the tax code entered. This is also the percentage that the tax amount is calculated with.

 

REQUISITION NUMBER

When 'Employee' is selected as the 'Beneficiary', one or more employee expense requisitions can be selected in the grid for which the employee is the beneficiary. This field populates with all Employee Expense Requisitions where the status is Released 'R' or In Process 'I' and where the employee selected is the beneficiary on the requisition.

 

OUTSTANDING AMOUNT

It is a numeric read only field. It is the outstanding advance amount for the employee expense requisition you have just selected. When you select a requisition number the advance balance is calculated as follows for the requisition: (Advance Paid out - Cash returned - Expenses registered)

 

CHEQUE BENEFICIARY

This is the cheque beneficiary as specified on the Employee Expense Requisition. This is the beneficiary other than the employee to be printed on the cheque.

 

COMMENTS

This is a field for comments for each account/requisition entry in the grid. This field is optional.

 

TAX REASON CODE

This field is mandatory if the Tax Exempt Amount is greater than 0.

It populate with Tax Entity Values from the Tax Interface System table.

 

SERVICE INDICATOR

This field is mandatory if the Tax Policy setting on System Configuration is not equal to 'V' for VAT.

It populates with Tax Entity Values from the Tax Interface System table.

 

COMMODITY CODE

This field will be populated with Commodity Codes from the Commodity Master table.

This field is mandatory if the Tax Policy setting on System Configuration is not equal to 'V' for VAT.

There must be a mapping between the selected commodity code and the tax system integrated to.  See Tax Interface System table where the Tax Integration System from System Configuration equals the Tax Integration System value on the Tax Interface System table and the Tax Entity equals Service indicator (01) and is Active.

 

EXEMPT INDICATOR

It populates with Tax Entity Values from the Tax Interface System table.

This field is mandatory if the Tax Policy setting on System Configuration equals 'V' for VAT.

 

EXEMPT AMOUNT

If the Exempt Indicator is 'Y' this field is activated.

When checked, the system will allow transactions for employee expense requisitions.  It can only be checked if the selected bank allows advances i.e. on the internal bank an advance suspense account code specified.

 

When "Employee" mode is selected and employees and requisitions are entered, an advance will be transferred from the advance suspense account to either another employee or an account.

To determine the correct Advance Suspense Account, either the "Account" or "Requisition" must be selected.

 

When it is an "Account", determine the division of the "Account".  The Advance Suspense Account code of the selected bank from the Bank Internal table and the division will provide you with the Advance suspense Account.

 

When you have a "Requisition", the "Requisition" will have either an account or a node. In the case of an account, determine the division of the "Account". The Advance Suspense Account code of the selected bank from the Bank Internal table and the division will provide you with the Advance suspense Account.

 

In the case of a node, determine the division to which the node belongs. The Cash Advance Account code of the selected bank from the Bank Internal table and the division will provide you with the Advance Suspense Account.

 

hmtoggle_plus1Allocate To Other Account

This is a checkbox that is by default unchecked. When doing an Employee to Bank transaction (allocation of employee expense after proof of purchases) and this checkbox is selected the Account field in the Accounts grid will be enabled and an account(s) can be selected.

 

When an account is selected it means that the expense will be journalised to another account than the account/node on the employee expense requisition.

The user must have a security profile linked to the function Bank Transaction with an access allowed of Add.

 

BUSINESS RULES WHEN APPLYING A BANK TRANSACTION:

 

1.        It first validates to see that you have a bank transaction profile on the Bank Transaction Access table for the specific transaction type. The profiles available from the table column values where the column name equals 'Transaction Profile' are:

 

BB for Bank To Bank

BA for Bank To Account

BE for Bank To Employee

BX for Bank To External Organisation

BO for Bank To Other Concern

EB for Employee To Bank

AB for Account to Bank

OB for Other Concern to Bank

 

Each profile per person is regulated by, an effective date as well as a maximum amount per day and maximum amount allowed per employee.

 

2.                If method is Cheque (Q), it is first validated to see if cheque payments are allowed for the "Bank Internal".

 

3.                If method is Cash (S), it is first validated to see if cash payments are allowed for the "Bank Internal".

 

4.                If method is Credit Card (C), it is first validated to see if credit card payments are allowed for the "Bank Internal".

 

5.                If method is Transfer (T), it is first validated to see if transfer payments are allowed for the "Bank Internal".

 

6.                It validates to see if you have enough advances i.e. to see that you do not spend more than what you have or are supposed to have, that you do not exceed the requisitions value or                   that the requisitions value does not end up being a negative value.

 

7.                When doing a transaction with "Bank", and direction is "Into Bank", the receipt number is incremented with 1.

 

8.                The transaction date time on the Bank Transaction table will be the same as the source timestamp on the Journal table.

 

9.                The effective date's financial period  on the bank transaction table will be the same as the financial period on the Journal table ( if journal source settings allow for the specific                             financial period, otherwise the current financial period is used)

 

10.                If the Bank statement date is greater than 1 Jan 1900  the financial period of the bank statement date will be the same as the financial period on the Journal Table ( if journal source                    settings allow for the specific financial period, otherwise the current financial period is used)

 

11.                When you reverse transactions, it writes out S Journals and the source timestamp of the journals in the Journal table will be the same as the cancel date on the Bank Transaction                          table.

 

The following journals and bank transaction records will be created when the direction is "Into Bank" (unreconciled transactions)

 

BANK TO EMPLOYEE

Create a bank transaction record.  If it is an advance, the GL Suspense account of the selected bank will be credited and the Advance Suspense Account of the selected bank will be debited. The advance suspense account acts as a suspense account until proof of purchases is acknowledge. A record is also inserted in the Bank transaction account table.

 

If advance is not checked, insert a bank transaction record.  You will credit Bank with the nett amount and debit the Account with the nett amount if there is no tax amount.  If there is a taxax amount, the Account will be debited with the amount and the Tax Account (determined from the division to which the account or requisition belongs) will be debited with the Tax Amount.  There is a Tax Purchase Account and a Tax Sales Account on the Division table.  When the transaction is "Out of Bank" use the Tax Purchase Account else use the Tax Sales Account. A record is also inserted in the Bank transaction account table.

BANK TO ACCOUNT

Create a bank transaction record.  The Bank will be credited with the nett amount and the Account(s) will be debited with the nett amount if there is no tax amount. If there is a tax amount, the Account(s) will be debited with the amount and the tax account will be debited with the Tax amount. A record is also inserted in the Bank transaction account table.

 

BANK TO ORGANISATION

With this option an account(s) must be selected.  Bank is credited with the nett amount and the Account(s) is debited with the amount. Tax is not applicable on a bank to bank transaction. A record is also inserted in the Bank transaction account table.

 

BANK TO BANK

The Account of the Bank selected is credited with the nett amount and the Bank selected as the beneficiary is debited with the nett amount.  Tax is not applicable on a bank to bank transaction. A record is also inserted in the Bank transaction account table.

 

BANK TO OTHER CONCERN

With this option an account(s) must be selected.  Bank is credited with the nett amount, the Account is debited with the nett amount and the Tax Account is debited with the tax amount. A record is also inserted in the Bank transaction account table.

 

EMPLOYEE TO EMPLOYEE

Ensure that the requisitions are not the same.  Create two bank transaction records where:

 

You give your advance back to the bank and

The second employee receives an advance from the bank.

 

The transactions work in the same way as employee to bank and bank to employee, both with advances. A record is also inserted in the Bank transaction account table.

 

The following journals and bank transaction records will be written when the direction is "Out of Bank":

 

EMPLOYEE TO ACCOUNT

This will always be an advance (acknowledge receipts).  When you select an account, the Account will be debited with the amount, the Advance Suspense Account will be credited with the nett amount and the Tax Account will be debited with the tax amount.  The requisition actual value will not be updated. A record is also inserted in the Bank transaction account table.

 

When you have not selected an account, the account of the requisition will be used.  The selected bank's Advance Suspense Account will be credited with the nett amount, the Account of the Requisition will be debited with the amount and the Tax Account will be debited with the tax amount.  The requisition's actual value will be updated with the amount.  A record is also inserted in the Bank Transaction Account table.

 

EMPLOYEE TO BANK

The account(s) is credited with the nett amount and the Bank is debited with the nett amount. A record is also inserted in the Bank Transaction Account table.

 

ACCOUNT TO BANK

The Bank is debited with the nett amount and the Account(s) is credited with the nett amount if there is not tax amount.  If there is Tax, the Account is credited with the amount and the Tax Account is credited with the tax amount. A record is also inserted in the Bank Transaction Account table.

 

ORGANISATION TO BANK

The Bank is debited with the nett amount, the Account(s) is credited with the amount and the Tax Account is credited with the tax amount.

 

BANK TO BANK

The GL Account of the Bank selected is debited with the nett amount and the Bank selected as beneficiary is credited with the nett amount.  Tax is not applicable for this type of transaction.  You must have a Bank to Bank profile for both banks to do the transaction. A record is also inserted in the Bank Transaction Account table.

 

OTHER CONCERN TO BANK

The Bank is debited with the nett amount, the Account(s) is credited with the amount and the Tax Account is credited with the tax amount. A record is also inserted in the Bank Transaction Account table.

 

BUSINESS RULES WHEN INSERTING:

 

1.                All the amounts must be greater than zero.

2.                The tax amount and bank statement item cannot be less than zero.

3.                The direction must be "Out of Bank" (O) or "Into Bank" (I).

4.                The method must be Transfer (T), Cheque (Q) or Cash (S) or Credit Card (C).

5.                Must have a beneficiary i.e. an employee id, organisation code, requisition number or account.

6.                The bank code and employee id must both be valid.

7.                The employee must be Active (A).

8.                When it is organisation code, the code must be valid.

9.                The tax code must have a status of active and the effective date must be equal or less than today's date.

10.                Where there is an account, it must be an active account.

11.                Where there is a requisition, it must be of type employee Expense and the status must be Released (R) or In Process (I).

12.                The sum of amount on the Bank transaction account Table (Accounts grid) must be equal to the Total amount and Total Tax amount on the Bank Transaction table

BUSINESS RULES WHEN UPDATING:

 

1.                The amount, tax amount and bank statement item cannot be less than zero.

2.                The direction must be "Out of Bank" (O) or "Into Bank" (I).

3.                The method must be Transfer (T), Cheque (Q) or Cash (S) or credit card (C).

4.                Must have a beneficiary i.e. an employee id, organisation code, requisition number or account.

5.                The bank code and employee ID must both be valid.

6.                The tax code must have a status of active and the effective date must be equal or less than today's date.

7.                The sum of amount on the Bank Transaction Account table (Accounts grid) must be equal to the Total amount and Total Tax amount on the Bank Transaction table

8.                The employee need not be an Active (A) employee.

9.                When it is organisation code, the code must be valid.

10.                Where there is an account, it must be an active account.

11.                Where there is a requisition, it must be of type employee expense and the status must be Released (R), In Process (I) or Closed (C).

12.                Bank/cheque number may not be changed.

 

 

BUSINESS RULES WHEN DELETING:

 

1.                A bank transaction may never be deleted.

When the option "Bank" is selected, the combo box is populated with all valid banks, bank accounts I.E. it is populated with the bank code, bank description, GL account and GL Suspense account from the Bank Internal table.  It will only populate with bank codes where the user has valid bank transaction profiles as from the Bank Transaction Access

tab on the Bank Internal

When the option "Employee" is selected, the combo box is populated with all active employees I.E. it is populated with the name and ID from the Employee Master table.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length".

 

The "Employee" option is used to acknowledge receipts for advances and to transfer money from one employee expense requisition to another.

The beneficiary is the Employee, Account, Organisation, Bank or Other Concern receiving money from the Bank.  If the Transaction Direction is Out of Bank the frame header changes to "Beneficiary".  If the Transaction Direction is Into Bank the frame header changes to "Received From".

 

EMPLOYEE

When the Employee option is selected the drop down combo is populated with employees from the Employee Master table where the status is Active "A".

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

 

 

ACCOUNT

When the Account option is selected and the mode is "Bank", the drop down combo is populated with all active accounts (account and account description) from the Accounts table according to the specified account code settings.  Also see help on Account on the Transaction Detail tab.

 

 

ORGANISATION

When the Organisation option is selected, the drop down combo is populated with organisations (the name, code, debtors status, and creditors status) from the External Organisation table where the trading status is Active "A".

 

The number of characters to be entered before the list is shown is governed by the value of "populate length".  The organisation must be an external organisation registered with your company.

 

 

BANK

When the Bank option is selected and the mode is "Bank", the drop down combo is populated with all banks i.e. the bank code, description, GL account, and the bank account from the Bank Internal table.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length".

 

 

OTHER CONCERN

When "Other Concern" is selected, a text box is displayed. Other concern indicates organisations and persons not registered as an external organisation to your company.

Examples of "Other Concerns" could be the Receiver of Revenue or a charity organisation.

 

 

REQUISITION

When the "Requisition" option is selected, the drop down combo is populated with employee expense requisitions (requisition number and description) from the Requisition table.

It is mandatory for all bank transactions and will be printed on receipts (when a receipt is required).

A Country Code is defaulted from the Default Country Code from System Configuration. The field values is populated from the Country table.

This field is mandatory if the bank transactions involves an Other Concern.

It is only checked when a receipt is required for an Into Bank transaction.  When a transaction from "Beneficiary" to "Bank" is performed, this field becomes mandatory.

hmtoggle_plus1Currency Rate

This field shows the currency rate between the base currency and the foreign currency.  I.E. If United State Dollar is entered and the base currency is South African Rand, the currency rate might be 0.14.  1 rand equals 0.14 dollar.

This field will only be enabled when "Into Bank" transactions are done. This is an optional field that can take a maximum of 20 alphanumeric characters.

This frame is used to indicate the transaction direction.

 

Into Bank

It is used to inquire on transaction where funds flowed  into the bank.  When Into Bank is selected, the user can specify the person or organisation paying funds into the specified bank.  This is done in the Received From frame.

 

When this option is selected, you can specify a receipt number to inquire on, in the Receipt Number text field displayed.

 

Out Of Bank

It is used to inquire on transaction where funds flowed out of the bank.  When Out Of Bank is selected, the user can specify the beneficiary in the Beneficiary frame.

 

When this option is selected, you can specify a cheque number to inquire on in the Cheque Number text field displayed.

This is the date on which the bank transaction entered is effective.

This is also the date which financial period will be used for the Bank Transaction Suspense journals.

 

The effective date will also be used for the financial period when debtor/creditor settlements are done against bank transactions, and can also be the date to be printed on a cheque/receipt. The default for this date is today's date.

 

The effective date cannot be greater than the Bank Statement date.

If the effective date is in another financial period than the current period, the journal source setting for "S" journals (Cash management) should be opened.

When this option is selected, the combo box is populated with all active employees from the Employee Master table.

This option is used to acknowledge receipts for advances and to transfer money from one employee expense requisition to another.

This is the foreign currency allocated to the bank transaction.

This field populates with all currencies from the Currency table.

 

The default currency for this field is the currency from the Bank Branch Account table selected on the Bank function.

This is the foreign gross amount for the bank transaction.

This amount is calculated according to the Gross amount converted with the current rate on the foreign currency selected.

hmtoggle_plus1Foreign Nett

This is the foreign nett amount for the bank transaction.

This amount is calculated according to the Nett amount converted with the current rate on the foreign currency selected.

hmtoggle_plus1Gross Amount

It is the nett amount plus the tax amount.

hmtoggle_plus1Lock Options

This enables you to select or deselect either the amount or total amount (vat inclusive).

If you want to enter the amount inclusive with tax, select lock option amount. If you want to enter the amount exclusive of vat select lock option total amount.

hmtoggle_plus1Method

It is used to select the method in which the money is received or paid out for bank transactions.

 

Transfer (T)

It is possible only when money is moved between the bank and an account, organisation or another bank.

 

Cash (S)

It is possible only when money is moved between the bank and an employee, organisation or other concern.

 

Cheque (Q)

It is possible only when money is moved between the bank and an employee, organisation or other concern.

 

Credit Card (C)

It is possible only when money is moved between the bank and an employee, organisation or other concern.

 

Internal Transfer (I)

It is possible only when money is moved electronically as requested per Employee Expense Requisition, when doing an Employee to Account Transaction, the Method will default to Internal Transfer.

It is the amount entered for the bank transaction and excludes the tax amount.

hmtoggle_plus1Other Concerns Address

This field is used to indicate the address of the Other Concern selected.  Each line has a maximum length of 70 characters. Line 1 is mandatory while lines 2 through 5 are optional.

 

The "Apply" button is only enabled once, line 1 is entered and the"Other Concerns" field has data entered.

It is a numeric read only field.  It is the outstanding cash advance amount for the Employee expense requisition you have just selected

 

When you select a requisition number the advance balance is calculated as follows for that requisition:

This field indicates the receipt number for the "Into Bank" transaction. The receipt number is maintained on the Bank Internal table.

The beneficiary is an employee or receiving money from an employee, account, organisation, bank, or other concern.

 

EMPLOYEE

When "Employee" is selected, the advance box is not checked, and the mode is "Bank", either an employee expense Requisition number or an Account number must be specified.

 

ACCOUNT

When "Account" is selected and mode is "Bank", an account(s) can be specified in the accounts grid.  The combo box is populated with all active accounts from the Accounts table and where the application setting "Account to Bank" is set to '1' (yes) for the account code..

 

The bank will be debited and the selected account will be credited, or vice versa.  Journals referencing this account include the following:

 

Debtors Settlement Journal

Creditors Settlement Journal

 

ORGANISATION

When "Organisation" is selected and the mode is "Bank", the combo box is populated with all organisations from the External Organisation table.

 

The organisation must be an External Organisation (supplier and/or customer) registered with your company an account(s) (e.g. Trade Debtors) has to be specified in the accounts grid.

 

BANK

When "Bank" is selected and the mode is "Bank", the drop down combo is populated with all banks from the Bank Internal table.

 

OTHER CONCERN

When selected, a text box is displayed which, together with the first line of the "Other Concerns Address" field is mandatory.

 

Other Concern indicates organisations and persons not registered as an external organisation with your company.

 

Examples of other concerns could be, "Company donating money to your company or the Receiver of Revenue".

This is to indicate if the transaction should be reconciled when capturing the transaction. If the reconciled checkbox is selected then the statement date should be entered. This is the statement date allocated by the commercial bank.

When this date is entered then the bank transaction will be reconciled.

 

When the transaction is reconciled the Bank GL suspense account will be cleared and the Bank General Ledger account will be credited/debited.

 

The financial period of the statement date will be used for the reconciliation journals.

 

The statement date can must be greater or equal to the effective date.

This is an optional field that can take a maximum of 20 alphanumeric characters.

When "Employee" is selected as the "Received From" person, you can select a cash requisition number from the "Requisition" field.  This is used to record change received from an employee who received cash against an employee expense requisition.

 

This field only works together with the Employee option where the mode is "Bank".  Either the Account or Requisition field must be entered, not both.

 

When a requisition number is entered, only those, requisition numbers where the type of beneficiary is "Employee" will be displayed where the status is Released "R" or In Process "I".

 

The number of characters to be entered before the list is shown is governed by the value of "populate length"

It is populated with all valid employee expense requisitions where the "Employee" selected is the beneficiary i.e. it is populated with the requisition number, bank description, bank code, and settlement date from the Requisition table

This is a checkbox and when selected then the other concern address can be entered.

It is the line number on the bank statement.  When used with the bank statement number, it uniquely identifies an item on the bank statement (optional).

It is the bank statement number allocated by the Commercial Bank.

It is an optional text field that can be entered if you have a bank number.

 

If the number is entered the bank transaction will be reconciled and reconciliation journals will be run.

The Bank transaction rules can be setup in the Bank_transaction_ext_rule table. The rule combobox will populate all rules accordingly. A rule value can be selected and when the transaction is applied it will be inserted in the bank_transaction_extended table.  This field is optional and used in context of extra attribute field.

 

hmtoggle_plus1Tax Amount

It is usually entered for expenses for Employee Expense Requisitions.  The TAX account that is read from the Division table will be credited or debited, depending on the direction of the bank transaction, with the amount entered in this field.  (This amount is the sum of all tax amounts in the account grid)

 

This amount can be entered manually or it can be automatically calculated when a net amount is entered.  When a value is entered in "Gross Amount",  it automatically calculates the "Nett Amount" and the "TAX Amount".

 

This field is disabled for 'Bank To External Organisation' and 'External Organisation to Bank', Bank to Employee (advance = Yes) and 'Employee to Bank (advance = Yes) transactions.

This field defaults to the Tax Percentage Default specified on the System Configuration .

 

The "Tax Amount" is based on tax percentage.  The tax percentage cannot be adjusted but the "Tax Amount" can.
