This screen displays the budget entities that have been linked to a budget id and baseline.

 

On this tab the following fields can be viewed:

 

hmtoggle_plus1Baseline

This field displays the valid baselines available for selection and is enabled. Selection of this field is not mandatory in order to display the existing entities.

hmtoggle_plus1Budget Id

This field displays the budget id selected on the Budget Header tab and is disabled.

hmtoggle_plus1Budget Id Description

This field displays the description of the budget id selected on the Budget Header tab and is disabled.

hmtoggle_plus1Budget Type

This field displays the budget type of the budget id selected on the Budget Header tab and is disabled.

hmtoggle_plus1Company Specific Baseline

This field indicates which baselines are required. If the field is checked, only formal company specified baselines will be available for selection. If the field is unchecked, only non company specific baselines will be available for selection.

hmtoggle_plus1Cost Centres/Divisions

This field is enabled when 'account' is selected in the Entity type field. It is populated with valid cost centers and divisions of entities that exist in the Budget Entity table.

hmtoggle_plus1Delete

This button deletes the entities that have been selected for deleting. When deleting, the system will allow the deleting of nodes that have been created manually or have a 1 WBS code. If they have a 1 WBS code, the entire structure below the selected node will also be deleted (but not any other structure(s) that may have been linked to that budget or any other single manually created nodes).

This field is enabled when the entity type is selected in the Entity type field. It is populated with the entire entity key for entities that exist in the Budget Entity table.

hmtoggle_plus1Entity Description

This field is populated with the entity description once an entity has been selected. It is disabled.

hmtoggle_plus1Entity Type

Once the baseline has been selected, this field becomes enabled. The user may select the valid entity types as per the budget type selected. Nodes and accounts are linked to Capital and Own funded budgets. Order and accounts are linked to Contract budgets. Only accounts are linked to cost centre and division budgets. Only nodes are linked to Project budgets.

hmtoggle_plus1Financial Year

This field is enabled when an entity type is selected in the Entity type field. It is populated with all valid financial years in the company calendar. If a financial year is selected, the start and end dates default to the min work date and max work date of the selected financial year.

This field is defaulted with the applicable start date of the budget id from the budget header tab. It may be changed.

hmtoggle_plus1Grid

The grid displays the following:

A delete column - which must be checked for entities that the user wishes to delete. The delete button below must then be clicked. A double-click on the Delete heading checks all the entities in order to delete all that are listed; baseline description, entity type, entity id, entity id description, milestone node, program node, status, order type, line type, line number, completion date, coordinator/responsible person/node manager, structure level, division and division description.

 

For nodes : If more than 1 structure exists per budget id / baseline combination, the delete will remove the entire structure of the selected top node existing in the ERP system OR the entire structure of a manually added node structure if the top node is selected OR a single manually added node, if selected, which is not the top node in the structure.

A manually created node will however not be deleted if it is a parent of another node within the budget.

 

Double clicking on any row in the grid will populate the budget entity tab with the information in that row of the grid. If the user clicks on a row and then clicks on the Budget Resource allocation or Budget overview tabs, the aforementioned functions then open with the data defaulted in the parameters of the new function.

hmtoggle_plus1Hide Zero Values

This field is enabled when 'account' is selected in the Entity type field. It allows the user to hide zero value records when checked.

hmtoggle_plus1Line Types

This field is enabled when the order type is selected in the Order type field. It is populated with valid line types of entities that exist in the Budget Entity table.

hmtoggle_plus1Order Type

This field is enabled when 'order' is selected in the Entity type field. It is populated with valid order types of entities that exist in the Budget Entity table.

hmtoggle_plus1Show

This button allows the linked entities to be displayed in the grid.

hmtoggle_plus1Status

This field is enabled when an entity type is selected in the Entity type field. It is populated with valid statuses of the entities that exist in the Budget Entity table.

hmtoggle_plus1To Date

This field is defaulted with the applicable end date of the budget id from the budget header tab. It may be changed.
