The Header tab is used to define the changes to be performed.  In order to determine the designer as well as the product definition responsible for the changes, the Configuration Item (CI) the change has an effect on, must be specified.

 

The Configuration Item number is governed by the setting ECP Allow Non MRP Config Items specified on System Configuration. If the setting has a value of "No", the Configuration Item can only be a MRP planned or Phantom Part. If the setting has a value of "Yes", the Configuration Item can only be a MRP and not an MRP planned part.

 

Depending on the setting, ECP Product Code Enforcement on System Configuration the product definition may be overridden.  The product definition also determines the Product Administrator and Product Manager.  These two people, are the only persons allowed to maintain the routing on the change proposal and, with the Designer of the part, maintain the technical description.  Classification of the change proposal is a user defined field that is further described in the Change Proposal Classification function.

 

On this tab the following fields can be viewed:

The user must have a security profile linked to the function Change Proposal with an access allowed of Add.

 

Where ECP Auto Numbering applies, the "Add" button is enabled when the ECP number field is cleared. With ECP Auto Numbering de selected the "Add" button is enabled when a new ECP number is entered.

 

When the "Add" button is clicked the values for the ECP number, CI number, product code, classification, external organisation, requested by person, administrator, description and technical description are inserted in the ECP Master table for the ECP number entered.

 

After a successful add, the status is set to Evaluate "E" on the ECP Master table and the user is taken to the Routing/History tab where the Designer is defaulted to Sequence 1 in the Change Proposal Routing/History list box.

The Administrator defaults to the Product Administrator as specified on the Product Master table.  Only the Product Manager is allowed to change the Administrator on a Change Proposal.

The user must have a security profile linked to the function Change Proposal with an access allowed of Change.

 

The "Change" button is enabled where the CI designer or the Product Manager is the current signed on user.  When the "Change" button is clicked, the following fields on the ECP Master table are updated for the ECP Number entered:

 

         Configuration Item Number is updated with the CI Number,

         ECP Classification is updated with the Classification,

         Organisation Code is updated with the External Organisation,

         ECP Requested By is is updated with the Requested By person,

         ECP Administrator is updated with the Administrator,

         Description 1 is updated with the first 255 characters of the Description,

         Description 2 is updated with the last 255 characters of the Description,

               Technical Description 1 is updated with the first 255 characters of the

               Technical Description, and

         Technical Description 2 is updated with the last 255 characters of the

         Technical Description.

 

The "Change" button is disabled if the ECP status is Closed "C", Rejected "R" or Short Closed "S".

 

If the Configuration Item Number is changed, the ECP Master table is updated, the user is taken to the Routing tab and the Administrator is defaulted in the Sequence 1 column in the "Change Proposal Routing History" list box.

It is populated with the Engineering Change Proposal (ECP) number, and status from the ECP Master table.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

 

The change number is user defined or system generated depending on the setting Auto Numbering ECP Number on System Configuration Number Control.

It is populated with the code and description from the ECP Classification table where the code matches the code entered.

 

This is a user defined Classification to describe some aspects of the Engineering Change Proposal Process.  It is optional to specify a Classification Code for every Engineering Change

Proposal (ECP).

 

Classification Codes are defined on the Change Proposal Classification function.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (optional).

 

Only active Classifications are popluated. Classifications populated are also filtered depending on if the ECP is for Documents or Configured Items.

The user must have a security profile linked to the function Change Proposal Close with an access allowed of Change and at least inquiry rights on the Change Proposal function, or the CI designer or the product manager must be the signed on user.

 

This operation is not possible if any outstanding actions exist for the change proposal selected.

 

If any outstanding key fields exist on the ECP Keyfield table or any records exist on the ECP Detail table, a person with rights on the screen Change Proposal can short close the change proposal and the change proposal status is set to Short Closed "S".

 

If the change proposal is closed, the change proposal status is set to Complete "C".

The Change Proposal can be for a Configuration Item (Part Number) or Document.  If clicked, the system will assume that this Change Proposal is for a Configuration Item.

It is a read only field that displays the part description from the Part Master table for the configuration item number selected.

The population of the Configuration Item (CI) number is governed by the setting ECP Allow Non MRP Config Items as Configuration Items on System Configuration.

 

If the setting is set to No, it is populated with the part number, part description from the Part Master table and the surname, first name, middle initial and employee ID of the designer from the Employee Master table where the part is a MRP planned or Phantom part.

 

If the setting is set to Yes, it is populated with the part number, part description from the Part Master table of all MRP and Non-MRP planned parts and the surname, first name, middle initial and employee ID of the designer from the Employee Master table.

         

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

 

When the Configuration Item Number is changed, the "Product Code" field is defaulted with the product code of the Configuration Item Number selected.

 

The "Administrator" field is then defaulted with the Administrator from the Product Master table for the defaulted product code if the Administrator exists else it is defaulted with the Product Manager.

The user must have a security profile linked to the function Change Proposal with an access allowed of Delete.

 

When the "Delete" button is clicked a check is performed, to see if the ECP number exists on the ECP Detail and ECP Key Field tables.

 

If the ECP number exists on any of these tables, the delete is not possible.  If it does not exist the ECP number is deleted from the ECP Master table. If anybody on the Routing acted, the delete is not performed.

 

After the delete has been performed, mail is sent to the Designer informing him/her that the Change Proposal has been deleted and that he/she is to ignore any previous mail received regarding the Change Proposal.

This field displays the description 1 and description 2 from the ECP Master table (mandatory).

 

It is an alphanumeric field where the length must be between 3 and 510 characters.

 

The description is entered by the requested by person who adds the change proposal.  Only he or she can change the description before any action has been taken on the Routing of the ECP.

The Change Proposal can be for a Configuration Item (Part Number) or Document.  If clicked, the system will assume that this Change Proposal is for a Document.

This field is an optional field indicating that a change proposal was initiated by an External Organisation (supplier or customer).

 

It is populated with the name and the organisation code from the External Organisation table where trading status debtors or trading status creditors is Active "A".

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (optional).

When the Configuration Item Number is selected, the "Product Code" field is defaulted with the product code of the Configuration Item Number selected.

 

The setting ECP Product Code Enforcement on System Configuration governs whether it is permitted to deviate from the product code of the selected Configuration Item (CI) on an ECP.

 

When the setting "No Deviation Allowed'' is selected, the product code on the configuration item selected, is enforced and cannot be changed.  If the setting "Allow Deviation from Configuration Item Product Code" or "Allow Deviation from Configuration  Item Product Code Send Mail to Product Manager" is selected the product code of the configuration item selected is not enforced and can be changed.

 

If reselecting a product code, it is populated with the product code and description from the Product Master table where the product code matches the product code entered.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

 

When the product code is changed, the "Administrator" field is defaulted with the Administrator from the table Product Master for the product code if the Administrator

exists else it is defaulted with the Product Manager.

This button takes you to the Company Reports function.

This field defaults to the currently signed on user.  It is populated with the surname, first name, middle initial and employee ID from the Employee Master table where the status is Active "A".

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

It is a read only field that displays the column description from the Column Values table for the status of the ECP number selected.  An Engineering Change Proposal can have a status of Evaluation, Approved, Complete, Rejected or Short Closed.  The initial status of an ECP is Evaluation.

 

The Status can only change from and to the following:

 

1.  From Evaluate to Approved or Rejected

2.          From Approved to Rejected or Complete or Short Closed

3.          From Rejected no changes allowed

4.          From Complete no changes allowed

5.          From Short Closed no changes allowed.

 

PREREQUISITES TO CHANGE THE STATUS

 

1.  The status is changed form Evaluate to Approved on the Routing/History tab. Before the status can be changed, an action must be taken on every routing, where the sequence is equal to or less than the person taking the final approval action.  The actions taken, action code's internal action, may not be "Not Yet Actioned" and the approval action must be linked to the action code "Final Approval" before the status is changed.

 

2.  The status is changed form Evaluate to Rejected on the Routing/History tab.   The ECP can be rejected if the request code selected is linked to an action code with an internal action of "Rejected".

 

3.          The status is changed form Approved to Rejected on the Routing/History tab.  The ECP can be rejected if the request code selected, is linked to an action code with an internal action of "Rejected" and the action linked to the internal actions "Implemented" has not been taken.

 

4.          The status is changed from Approved to Short Closed, with the click of the close button on the Header Tab under the following conditions:

 

q         All actions are completed with no action code linked to the internal action "Not Yet Actioned", and

q         At least one of the linked key fields has an implemented status of No, or

q         The Number of Records to be Added on the ECP Detail table exceeds the number of records added in the ECP Linked Keyfields table (type of change = A).

 

5.          The status is changed from Approved to Complete with, the click of the close button on the Header Tab under the following conditions:

 

q         All actions are completed with no action code linked to the internal action "Not Yet Actioned" and;

q         No records exist on the table Linked key fields with a Implement status of No and;

q         No records exist on the ECP Detail table where the, number of records to be added exceeds the number of add links in the ECP Linked Key Fields table.

hmtoggle_plus1Technical Description

This field displays the technical description 1 and the technical description 2 from the ECP Master table (optional).

 

It is an alphanumeric field where the length must be between 3 and 510 characters.

 

Only the designer of the Configuration Item, Product Manager or Product Administrator of the product on the change proposal can enter a technical description. The Technical Description can only be entered when the first routing has been added.
