On this tab the following fields can be viewed:

 

hmtoggle_plus1Action Date

It is a read only field that displays the current date time when the tasked employee takes action else "Jan 1 1900 12:00AM" is defaulted.

hmtoggle_plus1Action End Date

This date is only enabled if the signed on user is the Product Manager or the Administrator.

 

Defaults to today's date but the user can enter another working day from the calendar, that is greater than or equal to today's date (it is mandatory).

 

The action end date can only be changed before the tasked employee, in the sequence, has taken action or when, the requester adds a new designer.

hmtoggle_plus1Action End Time

The user can change it manually and it can only be changed if the signed on user is the Product Manager or the Administrator or when, the requester adds a new designer.

 

It is a mandatory field that is displayed in a 24 hour format and defaults to 08:00 AM.

If the change proposal status is Evaluate "E", and it's the first sequence in the routing where the Routed employee equals the Tasked employee, the combo box is populated with distinct request description and request code from the Request Action Translation table where:

 

The action code is not equal to spaces,

The status is Active "A",

Internal Action Allowed is not equal to Implement "I", and

Internal Action Allowed is equal to Designer Evaluation.

 

If the change proposal status is Evaluate "E", and it's not the first sequence in the routing or the Routed employee is not equal to the Tasked employee, the combo box is populated with distinct request description and request code from the Request Action Translation table where:

 

The action code is not equal to spaces,

The status is Active "A",

Internal Action Allowed is not equal to Implement "I", and

Internal Action Allowed is not equal to Designer Evaluation.

 

If the Change Proposal status is Approved "A", it is populated with distinct request

descriptions and request codes from the Request Action Translation table where:

 

The action code is not equal to spaces,

The status is Active "A", and

Internal Action Allowed is equal to Implement "I".

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

 

Action required, can only be changed by the requestor of the change proposal when a new Designer is added in "Sequence 1" or by the Product Manager or Administrator.

hmtoggle_plus1Action Taken

This field is applied by a participant in the Routing to report back on his/her action taken. The "action taken" is dependant on the Action Requested and only those actions taken that have been pre-linked to the "action requested", can be selected by a participant.

 

Actions are thus listed from the table Request Action Translation where:

The status is Active "A",
The associated request code is linked to the actions displayed.

It is populated with distinct action description and action code from the Request Action Translation table where the request code field is equal to the selected action required.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).  Action taken can, only be changed by the Tasked Employee.

 

If the Tasked employee field is changed to a person other than the participant, the Action Required field is populated with the request description and request code from the Request Action Translation table where Internal Action Allowed has a value of:

 

1.         Return Without Action "N",

2.         Return With Comments "C",

3.         Return Performed "R", or

4.         Not Yet Actioned "U" only.

Action Taken By displays the name of the Tasked Employee that took the action.

The "Add" button is enabled when the following conditions exist:

 

1.         The creator of an ECP is automatically taken to the routing tab to insert a record for the designer of the part,

 

2.         An employee who is either the ECP administrator or the Product manager of the product from the ECP Master table enters a new ECP Participant.

 

3.         The signed on employee or his acting for selects the record for which he /she is responsible and changes the Participant Tasked Employee to someone other than the ECP Participant.

 

This will allow the creation of routings to tasked employees. Only an ECP Participant can task non-participant employees.

 

When the "Add" button is clicked the ECP number, sequence, participant employee, tasked employee, action required, end date and end time fields on the screen are inserted into the ECP Routing table.

 

If the status of the Change Proposal is Rejected "R", Completed "C" or Short Closed "S", the add cannot be performed.

 

If the Designer is added in "Sequence 1" in the routing, mail will be sent to him notifying him of Action Required.

 

If all the employees have acted in their sequence in the routing and the Product Manager or Administrator adds a new routing in a new sequence, mail is sent to the new Tasked Employee notifying him of Action Required.

 

If the Participant changed the Tasked Employee, mail is sent to the Tasked Employee notifying him of the action required.

hmtoggle_plus1Change

The "Change" button will be enabled if the tasked employee is also the signed on employee who selects himself or the person he is acting for, in the routing list.  It will also be enabled if the signed on employee is the Product Manager or the Administrator and the Tasked Employee of the selected routing in the list has not yet taken a valid action.

 

This will only be allowed if the previous sequence numbers have all got action codes that are not equal to spaces. The action code of a previous sequence must also not contain an action linked to internal action "Not Yet Actioned" in the Request Action Translation table.

 

The Change cannot be performed if the status of the Change Proposal is equal to Rejected, Short Closed or Completed.  Tasked employees can only complete actions with or without comments while the ECP Administrator can only change the To Date Time and/or the request code of records that are not yet completed (with no actions in the Action Code field).

 

 

IF THE ROUTING STATUS IS EVALUATE "E"

 

If all tasked employees acted up to the last employee in the current sequence, and the Tasked Employee takes action with an internal action code of Final Approval "F", the ECP Routing table status field is set to Approved "A" and the ECP Master table status field is set to Approved "A".  Mail is also sent to the Product Manager and the Administrator.

 

If the tasked employee in the routing took action with an internal action code of Rejected "J", the status on the ECP Routing table is updated to Rejected "R" and the status on the ECP Master table is updated to Rejected "R".  Mail is also sent to the Product Manager and the Administrator.

 

IF THE ROUTING STATUS IS APPROVED "A"

 

If the tasked employee took action with an internal actin code of Rejected "J" and no tasked employees, in the routing, before him, took action with an internal action code of Implement "I" and no linked key fields exist for the selected Change Proposal the status on the ECP Routing table is updated to Rejected "R" and the status on the ECP Master table is updated to Rejected "R".  Mail is also sent to the Product Manager and the Administrator.

 

 

If all tasked employees in the routing on all sequences took valid actions mail is sent to the Product Manager and Administrator for notification.

 

If the tasked employee took valid action mail is sent to the Participant Employee.

 

If the tasked employee is also the participant employee and took action with an internal action code of Return Without Action "N", Return With Comments "C", or Return Performed "R", mail is sent to the Product Manager and Administrator for notification.

 

If the tasked employee is also the Designer, mail with reference to the Change Proposal is automatically sent to the ECP Administrator and the Product Manager of the Product on the ECP Master table.

 

The Status can only change from and to the following:

 

1.         From Evaluate to Approved or Rejected

2.         From Approved to Rejected or Complete or Short Closed

3.         From Rejected no changes

4.         From Complete no changes

5.         From Short Closed no changes.

 

 

PREREQUISITES TO CHANGE THE STATUS

 

11.  The status is changed from Evaluate to Approved on the Routing/History tab.  Before the status can be changed, an action must be taken on every routing where the sequence is equal to or less than the person taking the final approval action. The actions taken action code's internal action, may not be "Not Yet Actioned" and the approval action must be linked to the action code "Final Approval" before the status is changed.

 

2. The status is changed from Evaluate to Rejected on the Routing/History tab.  The Change Proposal can be rejected if the request code selected is linked to an action code with an internal action of "Rejected".

 

3. The status is changed from Approved to Rejected on the Routing/History tab.  The ECP can be rejected if the request code selected is linked to an action code with an internal action of "Rejected" and the action linked to the internal actions "Implemented" has not been taken.

 

4 4. The status is changed from Approved to Short Closed, with the click of the close button on the Header Tab under the following conditions:

 

q         All actions are completed with no action code linked to the internal action "Not Yet Actioned",

q         At least one of the linked key fields has an implemented status of No, or

q         The Number of Records to be added on the ECP Detail table exceeds the number of records added in the ECP Linked Keyfields table (type of change = A).

 

5.  The status is changed from Approved to Complete with, the click of the close button on the Header Tab under the following conditions:

 

q         All actions are completed with no action code linked to the internal action "Not Yet Actioned",

q         No records exist on the Linked Key Fields table with a Implement status of No, and

q         No records on the ECP Detail table exist where the number of records to be added exceeds the number of add links in the ECP Linked Key Fields table.

 

If the person is the Designer and the sequence is 1, mail is sent to the Product Manager and Administrator.

 

If the person is the last person in his/her sequence to give action, and all the tasked employees took valid action, mail is sent to all the people in the next sequence to notify them of their action required.

When added, the comments are sent as comments with the mail.  Only comments entered when the action code is entered into the table are written to the table.

 

It is an alphanumeric field where the length must be between 3 and 510 characters.

 

When changed, the first 255 characters are written to Comments 1 and the last 255 characters are written to Comments 2 on the ECP Routing table.

 

This field is mandatory if an action is taken with an Internal Action code of Return With Comments "I".

The "Delete" button is enabled when the following conditions are true:

 

         The user has selected an entry in the list box,

         The signed on employee is the ECP Administrator or the Product

         Manager of the Product on the ECP Master table, and

         The record selected in the routing has not already been acted upon

         or has a status of Not Yet Actioned "U".

 

The designer in sequence 1 cannot be deleted and the user cannot delete if an action is already taken i.e. "Cannot delete Routing entry after action taken".

 

When the "Delete" button is clicked, the selected ECP number, ECP participant, sequence number, and participant tasked employee is deleted from the ECP Routing table.

The row in the list box that is highlighted indicates that the signed on employee is the tasked employee and has not yet taken action or where internal action is equal to Not Yet Actioned "U".

 

It is populated with the sequence number, participant, tasked employee,and the actioned by person from the ECP table.

 

The request description is populated from the table Request Action Translation where the request code on the ECP Routing table is equal to the request code on the Request Action Translation table.

 

If action has been taken the action description is populated from the Request Action Translation table where the action code on the ECP Routing table is equal to the action code on the Request Action Translation table.

Is a field available for the Requestor to add some comments associated with the ECP.

It is populated with the surname, first name, middle initial and the employee ID from the Employee Master table where the status is Active "A.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

 

When the participant is changed, the tasked employee is defaulted to the participant.

 

On adding a change proposal, this fields default to the designer of the specific part.

When checked, it selects the sequence number, ECP participant, participant tasked employee, action performed by, request code and action code, to date time, action status date, comments1 and comments 2 from the ECP Routing table, for the selected ECP number where the ECP Status is Approved "A" or Rejected "R".

 

When unchecked, all the routing entries in the list are displayed.

hmtoggle_plus1Sequence

Sequence is only enabled if the signed on employee is the Product Manager or the Administrator.

 

If the same sequence number is allocated to a number of users, the actions can be performed in parallel.  This will imply that all sequence 2 actions must be completed before the sequence 3 actions are to take place.

 

If a participant involves a tasked employee, the tasked employee inherits the same sequence as the participating employee.

 

The sequence can have a maximum value of one greater than the greatest sequence number in the list.  When a Designer is added, sequence number can only be 1.  If there is already a Designer in "Sequence 1", the sequence number can only be set to 2 or more.

 

If the employee in the current sequence, has not yet taken action, the sequence can be changed.  If he/she has taken action, the sequence can not change and all the fields are cleared for a new routing to be added.
