This function is used to define and maintain towns and cities in which your company has business interests.

 

It is also used to define geographical regions, countries and areas.   This assists in doing sales analysis per region, area, and country.  It also assigns responsibilities for such areas to employees in the company.

 

By specifying the city where an external organisation resides, enables extraction of data per region, country etc.

 

INQUIRE

The user must have a security profile linked to the function City with an access allowed of Inquire.

 

On this tab the following fields can be viewed:

The user must have a security profile linked to the function City with an access allowed of Add.

 

The "Add" button is enabled when a new city code is entered.

 

When the "Add" button is clicked, the city code, city description, city responsible person, sub region, sub region responsible person, region, region responsible person, country, country responsible person, area, and area responsible person are inserted into the City table.

 

BUSINESS RULES WHEN ADDING:

 

1.        The city code may not be spaces.

2.        The city description may not be less than 3 characters.

3.        The city responsible person must be an active employee.

4.        The sub region responsible person must be an active employee.

5.        The region responsible person is must be an active employee.

6.        The country responsible person must be an active employee.

7.        The area responsible person must be an active employee.

This field displays the area of the selected city from the City table. The length can be a maximum of 70 characters (optional).

It is populated with the employee ID from the City table and the surname, first name and middle initial from the Employee Master table where the status is Active (A).

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (optional).

hmtoggle_plus1Change

The user must have a security profile linked to the function City with an access allowed of Change.

 

The "Change" button is enabled when an existing city record is selected.  When the "Change" button is clicked, the existing city record is updated on the City table.

 

BUSINESS RULES WHEN CHANGING:

 

1.        The city code may not be spaces.

2.        The city description may not be less than 3 characters.

3.        The city responsible person must be an active employee.

4.        The sub region responsible person must be an active employee.

5.        The region responsible person is must be an active employee.

6.        The country responsible person must be an active employee.

7.        The area responsible person must be an active employee.

It is populated with the city code and description from the City table.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

 

When an existing code is selected, all the fields in the City table are populated.

hmtoggle_plus1City Description

It is a short narrative description of the City Code selected.

 

It is an alphanumeric field where the length must be between 3 and 70 characters (mandatory).

hmtoggle_plus1City Responsible Person

It is populated with the employee ID from the City table and the surname, first name and middle initial from the Employee Master table where the status is Active (A).

It is populated with the employee ID from the City table and the surname, first name and middle initial from the Employee Master table where the status is Active (A).

This field displays the country of the selected city from the City table. The length can be a maximum of 70 characters (optional).

The user must have a security profile linked to the function City with an access allowed of Delete.

 

This operation will not be performed if this City Code exists on any of the following tables:

 City Code

Container

 City

 

When the "Delete" button is clicked, the selected record is deleted from the City table.

It is populated with the employee ID from the City table and the surname, first name and middle initial from the Employee Master table where the status is Active (A).

This field displays the region of the selected city from the City table.  The length can be a maximum of 70 characters (optional).

hmtoggle_plus1Responsible Person Picture

A picture of the Responsible Person selected will be displayed if one is available for the selected employee.

 

If one or more Responsible Persons are selected, the picture displayed, will be of the last Responsible Person selected.

This field displays the sub region of the selected city from the City table.  The length can be a maximum of 70 characters (optional).
