This function is used to define and maintain your company information.  Should a division, within your company be identified as an independent business entity, the division information i.e. the registration number, address etc, will supercede that of the company.

 

Company information can only be changed (not added or deleted). Only one record exists on the Company Information table at all times.

 

INQUIRE

The user must have a security profile linked to the function Company Information with an access allowed of Inquire.

 

On this tab the following fields can be viewed:

The user must have a security profile linked to the function Company Information with an access allowed of Change.

 

When the "Apply" button is clicked the following updates are performed:

 

1.  If validates if vat is applicable or not.  If vat is applicable a valid vat number must be entered.

 

2.  If an existing record is changed the Company Information table is updated with the changed values.

 

3.  When a new record is entered, the fields company name, telephone number, fax number, registration number, vat number, chief operating officer, bill address line 1, bill address line 2, bill address line 3, bill address line 4, bill address line 5, ship address line 1, ship address line 2, ship address line 3, ship address line 4, ship address line 5,  and e-mail address is inserted into the Company Information table.

 

 

BUSINESS RULES WHEN ADDING/UPDATING:

 

1.  The company information table can contain only a single record.

2.  The company name must be at least 3 characters.

3.  The company billing address must be at least 2 characters.

4.  The company shipping address must be at least 2 characters.

5.  The company telephone number must be at least 4 characters.

6.  The company fax number must be at least 4 characters.

7.  The company registration number must be at least 3 characters.

8.  The chief executive officer must be a valid active employee.

 

 

BUSINESS RULES WHEN DELETING:

 

1.  The company information table can contain only a single record. The company information cannot be deleted.

This field displays the billing address line 1, billing address line 2, billing address line 3, billing address line 4, and the billing address line 5 from the Company Information table.

 

It is alphanumeric where the length of the first line must be between 2 and 70 characters (mandatory).

 

The length of lines 2 through 5 can have a maximum of 70 characters (optional).

This field displays the chief executive officer from the Company Information table.

 

When changing this field, it is populated with the surname, first name, middle initial, and employee ID from the Employee Master table where:

 

         The status is Active "A", and

         The surname matches the surname entered.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

This field displays the company name from the Company Information table.

 

It is an alphanumeric field where the length must be between 3 and 70 characters (mandatory).

hmtoggle_plus1E-Mail Address

This field displays the company's e-mail address from the Company Information table.

 

It is an alphanumeric field with a maximum length of 50 characters (optional).

This field displays the company's fax number from the Company Information table.

 

It is an alphanumeric field where the length must be between 4 and 20 characters (mandatory).

hmtoggle_plus1Postal/Zip Code

This field displays the billing address postal code from the Company Information table.

 

It is an alphanumeric field where the length can have a maximum of 8 characters (optional).

This field displays the registration number from the Company Information table.

 

It is an alphanumeric field where the length must be between 3 and 20 characters (mandatory).

hmtoggle_plus1Shipping Address

This field displays the shipping address line 1, shipping address line 2, shipping address line 3, shipping address line 4, and shipping address line 5 from the Company Information table.

 

It is alphanumeric where the length of the first line must be between 2 and 70 characters (mandatory).   The length of lines 2 to 5 can have a maximum of 70 characters (optional).

 

The shipping address is defaulted to the "Deliver to Address" on the Purchase Order and Released Purchase Order Generation functions if no division deliver to address exists.

hmtoggle_plus1Tax Entity Id

This is an ID representing the Company as a Tax Entity to a Tax Interface System. See the Tax Integration System setting on System Configuration. It is only mandatory when the Tax Policy setting is "G" for general Sales tax.

hmtoggle_plus1Telephone Number

This field displays the company's telephone number from the Company Information table.

 

It is an alphanumeric field where the length must be between 4 and 20 characters (mandatory).

hmtoggle_plus1Vat Number

This field displays the vat number from the Company Information table.  If the setting Vat Applicable on the System Configuration table is equal to "No", this field displays spaces.

 

It is an alphanumeric field where the length must be between 1 and 20 characters (mandatory).
