Crating To Transfer

The Crating to Transfer function is used to transfer containers consisting of one ore more crates to a Destination Store and, to add, change, or delete container numbers/details.

 

The user can specify the Transporter, Contact Person and the Vehicle Registration of the responsible transporter of the container to a specified destination store if applicable. The Transporter, Contact Person and Vehicle Registration number are optional fields because the Destination Store could be, for example, on the same premises and therefore no transporter is required.

 

When adding a new container or changing an existing container the following rules apply:

 

1.The city must exist.
2.The container number may not be spaces.
3.The container serial number code may not be less than 3 characters.
4.The External Organisation, if selected must be an organisation where the trading status creditors is Active "A".
5.The contact person must exist if a Transporter (External Organisation) was selected.
6.The unit of measure must exist.
7.The container status is either Preparation "P" or In Transit "I".
8.The Transfer Notes may not less than 3 characters.

 

A container can only be deleted if no crates are linked to the container.  The user must have a security profile linked to the function Store to Crating with an access allowed of at least Inquire.

 

To Add or Delete containers, a security profile linked to the function Store to Crating with an access allowed of Add and Delete is needed.

 

The user must also have access to the Destination Store as specified by the Store Manager on the Store function.

The user must have a security profile linked to the function Crating to Transfer with an access allowed of Add.

 

The "Add" button is enabled when a new container number is entered.  When the "Add" button is clicked, the container number, serial number, transporter, contact person, transfer notes, vehicle registration, city, departure date, mass, mass UOM code, estimated arrival date, status and delivery address are inserted into the Container table.

 

BUSINESS RULES WHEN ADDING A NEW CONTAINER:

 

1.The city must exist.
2.The container number may not be spaces.
3.The container serial number code may not be less than 3 characters.
4.The External Organisation, if selected, must be an external organisation where the trading status creditors is Active.
5.The contact person must exist if a Transporter (External Organisation) is selected.
6.The unit of measure must exist.
7.The container status is either Preparation "P" or In Transit "I".
8.The transfer notes may not less than 3 characters.

It is populated with crate numbers from the Crate and Stock Transfer Requisition tables where:

 

The division that requested the stock transfer is the same as the selected destination store's division,

 

The store that requested the stock transfer is the same as the selected destination store, and

 

The in transit quantity on the stock transfer requisition is greater than zero.

The user must have a security profile linked to the function Crating to Transfer with an access allowed of Change.

 

The "Change" button is enabled when an existing container number is selected.

When the "Change" button is clicked, the Container table is updated with any new values entered.

 

BUSINESS RULES WHEN UPDATING A CONTAINER:

 

1.The city must exist.
2.The container number may not be spaces.
3.The container serial number code may not be less than 3 characters.
4.The External Organisation if selected must be an organisation where the trading status creditors is Active.
5.The contact person must exist if a Transporter (External Organisation) is selected.
6.The unit of measure must exist.
7.The container status is either Preparation "P" or In Transit "I".
8.The Transfer Notes may not less than 3 characters.

This field is used to specify the contact person within the selected transport organisation and is maintained on the External Organisation function.

 

When a new container is selected and a Transporter has been specified when the container was inserted or updated, it is populated with the contact person and organisation code from the Container table for the transporter selected.

 

When a new container number is entered, this field is populated with the contact person from the External Contact Person table when a Transporter is selected (a transporter has to be specified to default the Contact Person linked to the Transporter on the External Organisation function).

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory). It is an alphanumeric field with a maximum length of 50 characters.

This field is used to specify a new container or select an existing container to which crates can be linked. This field is enabled once a Destination Store is selected.

 

It is populated with the container number and container serial number from the Container table where the container has a status of In Transit "I", Preparation "P" or Unpacked "U".

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).  It is an alphanumeric field with a maximum length of 30 characters.

If a Container is selected, it will default the Country Code from the Default Country Code on System Configuration. If the Store is selected it will display the Store Shipping Address. The field values are populated

from the Country table. This field is mandatory.

If crates are linked to the selected container the Country Code will be recorded on the Container table. If the linked crates are unlinked the address is removed from the Container table.

This field is used to specify the city where the destination store is located.

It is populated with the city and city description from the City table.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

 

When an existing container is selected this field displays the city from the Container table.

The user must have a security profile linked to the function Crating to Transfer with an access allowed of Delete.

 

The "Delete" button is enabled when an existing container number is selected.  When the "Delete" button is clicked, the container number is deleted from the Container table.

 

The user cannot delete a container that already has a crate linked to it.

The address fields are used to specify the address to which the container is to be delivered.

 

If a container is selected, and crates are linked to it, the default address will be recorded on the Container table.  I f the crates are unlinked the address is removed from the Container table.

The address fields are used to specify the address to which the container is to be delivered.

This is the destination store to which the crated stock is to be transferred.

It is populated with the store code, description, and division code from the Store and Store Employee Master tables where:

 

The store is not an in transit store, and the signed on employee exists on the Store Employee Master table.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

 

The user must have a profile Crating to Transfer for the Destination Store.

The user must have a security profile linked to the Crating to Transfer function with an access allowed of Inquire.

hmtoggle_plus1Estimated Arrival Date

This field is used to specify the date on which the container is planned to arrive at the destination store selected. This date will default to today's date.

 

When an existing container number is selected, this field displays the estimated arrival date from the Container table.

 

When a new container number is entered, the estimated arrival date is specified in this field.  The estimated arrival date may not be less than the specified departure date (mandatory) and can not be less than today's date.

The  button is enabled when the user selects a crate number in the "Available Crate Numbers" list box and the container has a status of Preparation "P".

 

When the  button is clicked, the Crate table is updated with the container number where the crate number selected in the "Available Crate Numbers" list box is linked to the container.

 

When the crate is linked to the container the Transfer to Store movement is allowed.

When a crate is selected in the "Available Crate Numbers" list box and the  button is clicked, this list box displays the selected crate number i.e. the available crate is linked to the container.

 

When an existing container number is selected, it is populated with linked crate numbers from the Crate table and the Stock Transfer Requisition table for the selected container where the requested by division and store is equal to the selected store and division.

 

If any linked crate numbers exists, the Transfer to Store movement is allowed.

This field is used to specify the mass of the selected container when inserting or updating the container.

 

When an existing container is selected this field displays the mass of the container from the Container table.

 

The mass can have a value between 0 and 32767 (mandatory).

This field is used to specify the unit of measure in which the container mass is measured.

 

When an existing container is selected this field will display the unit of measure in which the mass of the container is measured, from the Container table.

 

When a new container number is entered, this field is populated with the unit of measure code specified in Crate Mass UOM Default on the System Configuration table and the unit of measure description from the Unit of Measure table.

This field is used to indicate the status of the container.  When an existing container is selected, this frame defaults to the status of the container specified on the table Container.

 

When a new container number is entered/selected, the user must indicate the status of the selected container (mandatory).

 

Preparation

This status indicates that the container is still in process of preparation for transfer.

This includes activities such as linking of crates against the selected container.  The stock being crated and contained cannot be consumed and will only be viewed by MRP if the setting Used By MRP on the In  Transit Store on the Store function is checked.

 

In Transit

This status indicates that the container is in process of transfer. In this status no maintenance is possible against the container. The stock that is being crated and contained cannot be consumed and will only be viewed by MRP if the setting Used By MRP on the In Transit Store on the Store function is checked. Updates are only possible if the status is changed to Preparation.

 

Unpacked

The status of the container will change to unpacked when the Transfer To Store movement is done. This means that the stock arrived at the Destination Store and can be consumed. The same Serial Number can be used but not the same Container Number and no more crates can be linked to this container number.

This field is used to specify the serial number of the selected container to be inserted.

 

When an existing container is selected this field displays the serial number of the container from the Container table. It is an alphanumeric field with a maximum length of 30 characters (mandatory).

This field is used to specify any additional notes regarding the transfer.

 

When an existing container is selected this field will display the transfer notes from the Container table if any exist for the selected container.

 

It is an alphanumeric field with a maximum length of 255 characters (mandatory).

This optional field is used to specify the organisation that will transport the selected container and is linked to the container when the Add or the Change button is clicked.   It is populated with the name and organisation code from the External Organisation table where the trading status creditors is Active "A".

 

When an existing container number is selected and a transporter was specified when inserting or updating the container to the Container table, it is populated with the transporter from the Container table.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).  It is an alphanumeric field with a maximum length of 20 characters.

This field is used to specify the transport method for delivery.

This field is mandatory if the Tax Policy setting on System Configuration is not equal to 'V' for VAT.

If it exists it will be defaulted from the Preferred Transport Method of the External Organisation function.

The  button is enabled when the user selects a crate number in the "Linked Crate Numbers" list box and the container has a status of Preparation "P".

 

When the  button is clicked, the container number is removed from the Crate table.

hmtoggle_plus1Vehicle Registration Number

This optional field is used to specify the registration number of the vehicle to be used to transport the selected container.

 

When an existing container is selected this field displays the vehicle registration number from the Container table if it was specified when the container was inserted or updated.  

 

It is an alphanumeric field with a maximum length of 10 characters.
