On this tab the following fields can be viewed:

It is populated with the account, cost centre and division code, and description from the Account, Account Codes and the External Organisation tables where:

 

         The account code and account status is Active "A", and                

         The application "Creditors Credit" is selected for the Account Code.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

hmtoggle_plus1Amount Requested

This is a user-defined field where the user can enter a positive total credit value to settle the selected invoice or invoices or part thereof.

 

Either the "Amount Requested" or Percent Requested must be entered.

The user must have a security profile linked to the function Creditors Credit Per Settlement with an access allowed of Add.

 

BUSINESS RULES FOR THE APPLY BUTTON:

 

1.  An invoice line link of type Credit (C) will be created for each entry in the Invoice grid, for the selected "Supplier".  The credit link is created using the "Account" selected and comments entered as well as the suggested amounts and Tax amounts, with a quantity of zero and an expected settlement date of today's date.

 

         The same Tax Code as the Tax Code displayed on the line will be inserted in the Invoice Line Link table.

 

2.  On the insert of a link, the following Creditor (C) journal entries will be inserted:

 

A negative journal for the selected account, to the value of the total price will be inserted.

 

Use the selected account's division or if the account is a cost centre account, use the cost centre's division as the default division.

 

A negative journal to the value of the total price + Tax on the invoice line link will be inserted, by selecting the account from the Accounts table, where the code is equal to the creditors account from the External Organisation table and the division is equal to the default division selected, for the supplier selected.

 

A positive journal for the Tax amount is inserted by selecting the Tax Purchases Account from the Division table using the selected division.

hmtoggle_plus1Calculate

The "Calculate" button is only enabled the Amount Requested or the Percent Requested is entered.

 

When the "Calculate" button is clicked the credit and credit Tax amounts will be calculated for each line according to the credit amount requested or percentage requested.

 

The user can edit the calculated amounts in the grid, but, once the user clicks the "Calculate" button again, the values revert to the calculated values.

The user may enter comments for the credit lines, to be used as reference, on the credit link(s) to be created.

 

It is an alphanumeric field with a maximum length of 70 characters (optional).

When the "Display" button is clicked and a range of invoices is specified, the grid displays the invoices that fall within the range specified.

 

If a range of invoices is not specified, all the unsettled invoices for the selected Supplier will be displayed in the grid.

hmtoggle_plus1Invoices

It displays the invoice number, line number, amount, tax amount, credit amount (0.00), credit tax amount (0.00), outstanding invoice amount, outstanding invoice tax amount, tax code, order number, order line number and completion date of all unsettled invoices for the selected supplier and selection criteria when the Display button is clicked.

 

It is populated from the Invoice Line Link table.  When "Select" is ticked, the credit amount and credit Tax amount columns are enabled allowing the user to suggest credits for the selected line.

 

If an invoice line link has a requisition number, the invoice line will only be displayed where "Date Approved" is greater than 1 JAN 1900.

 

If you click on the "Select" column header all the Credit Amount and Credit Tax Amount fields are enabled and vice versa.

 

The tax code should be the tax code of the receipt/additional/advance link. (Only one tax code per invoice line is allowed).

 

Invoice lines with a negative amount can not be selected for credit allocation.

 

On selecting a line in this grid the Allocate To Credit Note checkbox will be enabled and when the check box is selected the 'allocate to credit note' tab will be enabled.

hmtoggle_plus1Invoice To

This field is used to specify a range of settled or unsettled invoices to be displayed.  Enter the invoice number that ends the range and click the "Display" button.

 

Note that "%" can be used as a wild card (AQ7% will display invoices including those starting with "AQ7").

This field is used to specify a range of settled or unsettled invoices to be displayed.  Enter the invoice number that will start the range.

 

Note that "%" can be used as a wild card (AP4% will display invoices starting with "AP4").

hmtoggle_plus1Percent Requested

Credit can be allocated using a percentage between 0 and 100 instead of entering the Amount Requested.

hmtoggle_plus1Tax Requested

Will be calculated automatically when entering the amount requested. The Tax percentage is the Tax percentage from External Organisation.

 

You can edit the calculated amount.

hmtoggle_plus1Tax Selected

This field displays the total value of the "Tax Amount" column for the line(s) selected in the grid.

hmtoggle_plus1Total Selected

This field displays the total value of the "Amount" column for the line(s) selected in the grid.

hmtoggle_plus1View Invoices

This option frame has three options according to which invoice can be inquired on.  The default option is 'Unsettled Invoices' which will populate with all unsettled invoices for the selected supplier.

The option 'All Invoices' will populate with all invoices for the selected Supplier.

 

The 'Settled Invoices' option displays the invoices already settled for the selected Supplier.
