On this tab the following fields can be viewed:

The "Apply" button is clicked to execute the return movement(s). The user must have a security profile to which the function Customer to Production has been linked with an access allowed of Change.

 

A successful return movement will:

 

Update the "Quantity Complete" and "Contractual Quantity Complete" for the applicable order line by down adjusting the current values respectively with the quantities in the "Base Return Qty" and "Contractual Return Qty" fields.

 

If the order line carried a status of "Closed", the status will be set to "Released".

 

If a pallet was returned the Pallet Instance table is updated, the ship to organisation is set to spaces, the date shipped to "Jan 1 1900 12:00AM" and the pallet ID is set equal to the selected pallet ID.  If the mode is not "By Pallet" but the selected order line has been shipped on a pallet, the Pallet Contents table is updated, the quantity is set equal to the return quantity and the pallet ID equal to the movement pallet.

 

A movement (from Customer to Production) will be inserted, recording all the detail that was entered and execute the movement journals where applicable. The quantities will be recorded in both the base and contractual unit of measure.

 

The "Quantity Returned" of the original shipping movement will be up adjusted with the base return quantity.

 

A negative order line cost of sales record will be inserted in accordance with the quantity returned.

 

The Shipping Journal will be reversed for the returned quantity where applicable.

 

If the "Return Requirements To Stock" option was checked, the requirements will be returned to stock, thus resulting in an update of the requirement's issued qty and the quantity on hand in the location table.

 

If the "Undo Labour Actuals" option was checked, negative order operation actuals will be inserted and where applicable the labour credits for costed operations will be reversed.

 

The original shipping link quantities and amounts of the debtor line link will be adjusted if a shipping correction was performed (no return advice entered).

 

If a return advice was entered, the credit link and credit note options will results in either a credit link being added to the original invoice line, or a credit line and link being added to either an existing Credit note or to a new Credit note resulting from the movement and Credit note option.

 

Reversal of debtor journals will be triggered if the original invoice was already "Print Approved" or "Printed".

 

Where currency conversion apply, the conversion ratio of the original shipping link will be retained for the credit link's values, as will be done for the calculation of the tax amounts.

 

Note: Where reference is made to the reversal of journals, it is not implied that the original journals are cancelled or adjusted, but rather that the new journals are inserted with opposite signs for the amounts.

 

Also take care to ensure that if the order line was short closed at the time of shipping, the return transaction will reflect that the full balance is now once more on back order. Adjust the order quantity to reflect the actual quantity remaining in order to prevent over planning by MRP.

 

Customer returns do not undo any debtor settlements that might have taken place for the original invoice.

 

In order to accomplish the above-mentioned transactions, the Movement_Cust_To_Prod stored procedure is executed. If you are not using the "Customer to Production" front end function for updates, the following parameters can be passed to the stored procedure:

1.                The system checks that the order is still valid and determines the current financial year.

 

2.                The Process_Multiple_Movements stored procedure is executed.  If you are not using the Qmuzik front end for updates, the following parameters can be passed to the stored procedure:

This stored procedure is used to correct incorrect data when a Customer to Production movement is performed.  It reads each movement per delivery note and performs the returns one by one until the quantity to be returned is satisfied.

 

3.                If Return Components is ticked () in the Lines Selected For Customer Returns grid the stored procedure Component_Return is executed. If you are not using the Qmuzik front end for updates, the following parameters can be passed to the stored procedure:

The component return stored procedure should be called only after the order line has been updated to the new quantity. Other than the order line key, the only other value that needs to be passed is the old value of order quantity complete (the value before the order was updated).

 

4.                The Update_Location stored procedure is executed.  If you are not using the Qmuzik front end for updates, the following parameters can be passed to the stored procedure:

5. Average Costing.

In performing the stores to production movement, the main aim in average costing is to select the Average Unit Cost of the selected location and to split it between Labour and material.  This will determine which portion of the selected part's average unit cost is to be debited to WIP material and which portion is to be debited as labour. It will further be necessary to determine the ratio between the unit cost of the selected location record and the present unit cost of the selected order line. This ratio needs to be applied to all the debit journals in order to balance with the credit to be passed to stock.

 

6. Movement Unit Cost

If the costing method on system configuration = "A"(Average Costing), insert the movement unit cost the same as the Average Unit cost of the selected Location.

When the "Clear" button is clicked, the "Lines Selected To Be Returned" grid is cleared (i.e. any lines are removed).

The Credit Link option takes preference over the Credit Note option. This field displays the credit link option as applicable to and defined for the Customer on its External Organisation record and cannot be set to another value via this function.

 

Option "L" specifies that a credit link must be added to the original invoice. If option "L" applies, a credit line and link will be inserted on the same invoice as the original shipping link.

 

Even though the screen may display option "L", it will be ignored if the original invoice has already been "Print Approved" or "Printed" and the method applied by setting "C" (Add a credit link to Credit notes) will be executed. It is only for credit link option "C" where the Credit Note option is taken into consideration.  For other options the Credit Note option is ignored.

This frame displays the credit link and credit note options as applicable to and defined for the Customer on its External Organisation record.

 

If the credit note option specifies that credit links are to be added to an existing credit note, the user must specify the credit note by selecting a credit note number in the Credit Note Invoice Number field.

 

If no return advice has been entered (which is only permitted of the original invoice still carries a status of "created") no credit links are inserted and the credit link/note options therefore do not apply.

It is only for Credit Link option "C" where the Credit note option is taken into consideration. For other options the Credit note option is ignored.

 

If the credit link option is "C" (add a credit link to credit notes), the credit note option governs whether a new credit note is to be created (option "N") or whether a credit line and link must be added to an existing credit note that has not yet been "Print Approved" or "Printed".

 

Option "N" will thus create a new credit note and apply the next credit note number from Number Control from the System configuration function.

 

Option "B" requires a credit line and link to be added to an existing credit note, which requires selection of the applicable credit note number in the Credit Note Invoice Number field.

 

If the user fails to select an existing credit note number (whether by neglect or due to the fact that no credit notes with the correct status currently exists for the Customer), a new credit note will be created as if the option was set to "N".

 

Depending on the setting Independent Accounting on the External Organisation function the resulting Credit Note will be created against either the Customer or it's parent organisation.

hmtoggle_plus1Credit Note Invoice Number

This field is selected whenever the Credit Note option is "B", which requires a credit line and link to be added to an existing credit note.

 

A number of settings for the Customer governs which credit notes will be populated for selection. The settings are:

 

Allow Multiple Orders Per Document

This setting governs whether documents such as Invoices, credit notes and delivery notes can have links spanning multiple customer orders.

 

If set to "yes", it would not matter if the Credit note contained credit links for other customer order numbers.

 

If set to "no", the links can only be added to credit notes containing the same order number as the lines being returned by the Customer.

 

On Hold Link Enforce New Document

This setting governs whether links can be added to a credit note that already has one or more links that have been placed on hold.

 

If set to "no", only credit notes without "on hold" links, are displayed for selection.

 

Independent Accounting

This setting governs whether the Customer performs independent accounting and can therefore be billed or credited.

 

If set to "yes", credit notes, for the selected customer will be displayed for selection.

 

If set to "no", the customer's parent organisation is the one to be billed or credited and therefore credit notes of the customer's parent organisation, where the customer appears as the "ship to organisation", will be displayed for selection.

 

If the user fails to select an existing credit note number (whether by neglect or due to the fact that no credit notes with the correct status currently exists for the Customer), a new credit note will be created as if the option was set to "N".

The "Lines Selected To Be Returned" grid displays the following:

 

SELECT

This column contains a check box that needs to be clicked to select or deselect the rows to be returned. Only rows that have been checked will allow entry of information and will be returned once the transaction is finally processed once the Apply button is clicked.

 

Double click the column heading to select or deselect all the rows.

 

DELIVERY NOTE

It is a read only field that displays the delivery note number. It may be the same or differ from the invoice number from the Debtor Line Link table depending on the customer's debtor invoice option) of the line selected in the "Available Lines" list on the Lines Available to be Returned tab.

 

DN LINE

It is a read only field that displays the delivery note line number of the line selected in the "Available Lines" list on the Lines Available to be Returned tab.

 

DN DATE SHIPPED

It is a read only field that displays the shipped date (from the Debtor Line Link table) of the line selected in the "Available Lines" list on the Lines Available to be Returned tab.

 

MAX RETURNABLE QTY

It is a read only field that displays the maximum quantity that can be returned of the line selected in the "Available Lines" list on the Lines Available to be Returned tab.

 

Previous returns by the Customer are therefore already subtracted from the original delivery note quantity to calculate the value for this field.

 

The quantity is expressed in the order line part's base (stocked) unit of measure as displayed in the "Base UOM" column. For order lines without part numbers (non-stocks and customer specials) the quantity is expressed in the order line UOM.

 

BASE RETURN QTY

This field is applied to specify the quantity to be returned. The quantity must be expressed in the part's base (stocked) unit of measure as displayed in the "Base UOM" column. For order lines without part numbers (non-stocks and customer specials) the quantity must be expressed in the order line unit of measure.

 

The return quantity may not exceed the "Max Returnable Qty". The quantity is permitted to be expressed, as a decimal value, but only if the order line part allows decimal movements as defined for the Part Master record.

 

For order lines without part numbers (non-stocks and customer specials) the quantity can only be expressed as a decimal value if the order line unit of measure allows decimal movements as defined for the unit of measure record.

 

Typing of any value in this field will automatically recalculate the value in the "Contractual Return Qty" field (which will be the same value unless the order line has a unit of measure conversion).

 

The user can also choose not to type the return qty in this field, but rather in the "Contractual Return Qty" field, especially where the return advise expresses the quantity in the contractual unit of measure.

 

The quantity entered in this field is applied as the movement quantity as well as the linked quantity of the resulting credit link.

 

BASE UOM

For order lines with part numbers, the part's base (stocked) unit of measure is displayed in this column. For order lines without part numbers (non-stocks and customer specials) the order line unit of measure is displayed in this column.

 

CONTRACTUAL RETURN QTY

This field is applied to specify the quantity to be returned. The quantity must be expressed in the order line's contractual unit of measure (which will be the same as the parts base unit of measure unless a unit of measure conversion applies to the order line).

 

The return quantity may not result in a base return qty that exceeds the "Max Returnable Qty".  The quantity is permitted to be expressed as a decimal value, but may only result in a decimal value for the "Base Return Qty" if the order line part allows decimal movements as defined for the Part master record.

 

For order lines without part numbers (non-stocks and customer specials) the quantity can only be expressed as a decimal value if the order line unit of measure allows decimal movements as defined for the unit of measure record.

 

Typing of any value in this field will automatically recalculate the value in the "Base Return Qty" field (which will be the same value unless the order line has a unit of measure conversion). The user can also choose not to type the return qty in this field, but rather in the "Base Return Qty" field.

 

The quantity entered in this field is applied as the movement alternate unit of measure quantity as well as the linked quantity invoiced of the resulting credit link.

 

CONTRACTUAL UOM

The order line unit of measure is displayed in this column. For order lines with part numbers, this UOM will be the same as the parts base unit of measure unless a unit of measure conversion applies to the order line.

 

ORDER NUMBER

It is a read only field that displays the order number of the line selected in the "Available Lines" list on the Lines Available to be Returned tab.

 

LINE NUMBER

It is a read only field that displays the order line number of the line selected in the "Available Lines" list on the Lines Available to be Returned tab.

 

LINE SHIP DATE

It is a read only field, that displays the planned completion date of the line selected in the "Available Lines" list on the Lines Available to be Returned tab. This value is not to be confused with the actual date that the line was shipped for the specific delivery note as displayed in the "DN Date Shipped" column).

 

RETURN REQUIREMENTS TO STOCK

The setting is by default unchecked.  It is enabled if the selected order line to be returned has a product code where Automatic Backflushing is set to on.

 

If unchecked, the returned items are returned to work in progress, until a decision has been made to either return the parts to stock or to ship it once again after the customer complaint has been rectified.

 

If checked, all components issued to this order line will be returned to the store in accordance with the returned quantity of the order line part and the component's ratio (qty per).  The components will be taken into stock into the location from which they were originally issued prior to shipping.

 

Care should especially be taken with lines where exploded requirements were checked, since returning the components actually implies that the product is disassembled. The option is most likely to be applied where the incorrect line or quantity was shipped and where the transaction actually relates to a shipping correction.

 

NOTE: If a negative location was created by the original back flushing movement, which was subsequently removed by other movements, the return movement will still return the stock to the location "backflushing" and such occurrences should be dealt with by transferring the stock to the proper location.

 

If the product on the order line does not participate in back flushing, this check box is disabled.

 

If more components were issued than the calculated ratio, those components will not be returned, neither would any serialised or lot controlled parts since such parts would not have been part of the original back flushing transaction. Such parts must be manually returned via the Order Requirements To Stores movement and the applicable serial/lot numbers that are involved must be recorded.

 

If, through the application of the ratio checker sensitivity percentage less components than the percentage determined by the ratio checker were originally issued to the order line, the function will regard the first order line parts to be returned as the incomplete sets.

 

UNDO LABOUR ACTUALS

This check box serves a similar purpose as the "Return Requirements To Stock" option, but applies to the reversal of labour credits that were back flushed at the time of shipping.

 

The default for this option is unchecked, implying that the labour credits are not to be reversed simply due to the fact that the customer has returned the goods.

 

Should the reason for the return transaction be due to the incorrect line or quantity being shipped where the transaction actually relates to a shipping correction, it is most likely that the option will be checked to undo labour actuals (and the resulting credits to the cost centers where costed operations were involved).

 

If checked, all labour actuals (as per order operation actuals records for the order line) will be reversed in accordance with the returned quantity of the order line part and the individual operation's ratio (operation qty per).

 

Part Number

It is a read only field that displays the part number of the order line selected in the "Available Lines" list on the Lines Available to be Returned tab. For lines without part numbers (non-stocks and customer specials), the field will be blank.

 

Line Type

It is a read only field that displays the line type of the order line selected in the "Available Lines" list on the Lines Available to be Returned tab.

 

Line Description

It is a read only field that displays the line description of the order line selected in the "Available Lines" list on the Lines Available to be Returned tab.

 

Contract Line

It is a read only field that displays the contract line number of the order line selected in the "Available Lines" list on the Lines Available to be Returned tab.

 

Concession Number

It is a read only field that displays the concession number (if a concession was granted for the original shipping qty due to some deviance from specification or contractual agreement)  of the order line selected in the "Available Lines" list on the Lines Available to be Returned tab.

 

Base Cum Qty Shipped

It is a read only field that displays the cumulative quantity that was shipped for the order line selected in the "Available Lines" list on the Lines Available to be Returned tab. If earlier partial shipments were made for the order line, all shipments up to date (less cumulative returns) will be reflected in this field.

 

Base Quantity Ordered

It is a read only field that displays the quantity ordered of the order line selected in the "Available Lines" list on the Lines Available to be Returned tab, as expressed in the part's base (stocked) unit of measure. For lines without part numbers (non-stocks and customer specials), the field will display the order line unit of measure code.

 

Unit Price

It is a read only field that displays the sales unit price of the order line selected in the "Available Lines" list on the Lines Available to be Returned tab. The unit price is expressed in the part's base UOM and in the base currency. For lines without part numbers (non stocks and customer specials), the field will display the sales unit price in the base currency, since no unit of measure conversions will apply, but possibly a currency conversion.

 

Account

It is a read only field that displays the sales account of the order line selected in the "Available Lines" list on the Lines Available to be Returned tab.

 

Return Advice

It is a read only field that displays the return advice specified on the previous tab (can be empty if a shipping correction is performed for an invoiced in a created status). The return advice will be recorded on the resulting Movement.

 

Reason Code

It is a read only field that displays the reason code specified on the previous tab. The reason code will be recorded on the resulting Movement.
