On this tab the following fields can be viewed:

 

hmtoggle_plus1Add

The user must have a security profile linked to the function Division with an access allowed of Add.

 

The "Add" button is enabled when a new code is entered. When the "Add" button is clicked the division record is inserted in the Division table.

 

BUSINESS RULES WHEN ADDING A DIVISION:

 

1.        The default labour rate must be a cost centre (C), employee (E) or labour resource (L).

2.        The division code cannot be spaces.

3.        The division description must be at least 3 characters.

4.        The division code cannot be the same as the parent division.

5.        The division manager must be an active employee.

6.        The accountant must be an active employee.

hmtoggle_plus1Asset Controller

The asset controller is the person responsible for managing the assets of the selected division.

 

It is populated with the asset controller of the selected Division.

It selects the surname, first name, middle initial, and employee ID from Employee Master table.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

It is populated with bill address line 1, bill address line 2, bill address line 3, Town/City, Province, and Postal/Zip Code of the Division selected (optional).

 

The Zip Code is mandatory.

hmtoggle_plus1Billing Address Country Code

This is a mandatory field and is populated from the Country table.

hmtoggle_plus1Billing Postal Code

It is populated with the billing address postal code of the Division selected (optional).

hmtoggle_plus1Change

The user must have a security profile linked to the function Division with an access allowed of Change.

 

The only person who can change the division record is either the Division Manager, Division Accountant, Acting Division Manager, Acting Division Accountant, Chief Executive Officer or the Acting Chief Executive Officer.

 

The "Change" button is enabled when an existing, division code is selected.  When the "Change" button is clicked, the division record on the Division table is updated.

 

BUSINESS RULES WHEN CHANGING A DIVISION:

 

1.        The default labour rate must be cost centre (C), employee (E) or labour resource (L).

2.        The division code cannot be spaces.

3.        The division description must be at least 3 characters.

4.        The division code cannot be the same as the parent division.

5.        The division manager must be an active employee.

6.        The accountant must be an active employee.

7.        The division accounts cannot have a status of Suspended (S).

The user must have a security profile linked to the function Division with an access allowed of Delete.

 

The "Delete" button is enabled when an existing, division code is selected.  When the "Delete" button is clicked, the division record is deleted from the Division table.

 

This operation will not be performed where this Division Code exists on any of the following tables:

hmtoggle_plus1Division Manager

It is populated with the manager of the Division.  It is populated from the Division table.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

 

The Division Manager is the person in charge of a division. In the case of an independent division, the person is also the Chief Executive Officer (CEO) of that entity.

 

The Division Manager is responsible for defining and maintaining the business rules for the division as well as maintaining the limits of authorisation for lower level divisions and cost centres within the division structure/hierarchy.

 

In addition, the Division Manager and the Division Accountant, maintain division accounts and authorise requisitions entered against divisional accounts.

 

Only the Division Manager can change the division's accountant.

It displays the e-mail address of the selected division (optional).

hmtoggle_plus1Fax Number

It displays the fax number of the selected division (optional).

hmtoggle_plus1Independent Business

When checked, it indicates that the selected division functions as an independent business entity, and that the division must have its own company and Tax registration number specified (Tax registration number is mandatory if the System Configuration setting Tax Applicable is set to "Yes'".

 

The registration number and Tax number fields are enabled when this field is checked.

 

The division manager is also granted authority comparable to that of the Chief Executive Officer (CEO) specified on the Company Information function, (for example, the right to change the division's authorisation limits and approved budget current year update by and approved budget future year update by settings even if the current value is "Only CEO can change").

 

The printing of documentation such as, Purchase Orders, Invoices etc will apply the division address, telephone number, fax number etc rather than those specified on Company Information

 

When unchecked, it indicates that the division is not a registered Company and addresses, telephone number, fax numbers etc will be those of the Company and not the division.

 

When unchecked, the division manager does not have the right to update certain business rules on the business rules tab.  Authorisation limits can, only be updated by the CEO or acting for person.  

 

The approved budget current year update by and approved budget future year update by settings, can only be updated by the CEO or acting for person if the current setting on them is "Only CEO can change".  

 

All the documentation that is printed will come from the function, Company Information .

It is populated with the parent division from the Division table.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (optional).

 

The list displays the division code and description for the selected parent division. The parent division may not be the same as the division selected (optional).

hmtoggle_plus1Registration Number

It is populated with registration number of the Division (mandatory when "Independent Business" is checked).

hmtoggle_plus1Shipping Address Country Code

This is a mandatory field and is populated from the Country table.

hmtoggle_plus1Shipping Address

It is populated with ship address line 1, ship address line 2, State, Country, Town/City, Geo (Graphical)Code and Postal/Zip Code of the Division selected (optional).

 

The Zip Code is mandatory.

hmtoggle_plus1Tax Number

It is populated with the Tax number of the Division (mandatory when "Independent Business" is checked and the System Configuration setting Tax Applicable is set to "Yes".).

hmtoggle_plus1Tax Entity

This is an ID representing the Division as a Tax Entity to a Tax Interface System.  See the Tax Integration System setting on System Configuration.  It is only mandatory when the Tax Policy setting is "G" for general Sales tax.

hmtoggle_plus1Telephone No.

It displays the telephone number of the selected division (optional).
