On this tab the following fields can be viewed:

 

 

hmtoggle_plus1Add New Revision Detail

Check this box to add a new revision. All required fields would be enabled for data entry. Select the sheet and type or select the rest of the details required. An approved change proposal may be required to ad the new revision and the available change proposal(s) are displayed in the list "Available change proposals"

hmtoggle_plus1Available Change Proposals

This list displays all available change proposals for the selected document. If change control applies where the key fields must be predefined (options E and G) the system will force selection of an approved change proposal where the specific document and sheet and revision has been listed and authorised as ECP key fields.

If change control applies where the key fields need not be predefined (option R) the system will force selection of an approved change proposal where Document revision additions or deletions has been authorised but not forcing the specific document and sheet and revision to exist as predefined ECP key fields.

This option allows you to only view the currently active revision and to thus exclude past and future effective dates. Checking the box will select the revision with the greatest effective date that is = or < the current date. Where more than 1 revision is found, the 1 with the max sequence # will be displayed.

If a linked revision is selected, its frozen status is displayed in this field and can only be changed by a Document management administrator if the revision is frozen.. In the mode "Add new revision detail" the frozen status of the next revision to be added is specified by either checking or un-checking the box.  Since the revision number allows an alpha-numeric value, the sequence.

A linked revision can be selected and linking of an external object (the electronic image of the document revision) can then be performed by applying the external objects icon on the Main form. If an object has already been linked, the object details will appear in the list "Linked objects", displaying the object ID, description and object revision.

This option allows you to only view revisions related to a specific sheet. Check the box and select the applicable sheet number. To view revisions for all sheets, uncheck the box again.

hmtoggle_plus1Revisions Tab

This tab is applied to add, change and delete revisions for a selected document.  The 1st revision and revision status for a sheet is auto-created by the system when a new sheet or new document is added. Additional revisions with related effective dates, status and other data are added via this tab as and when the need arises.

 

Since the revision number allows an alpha-numeric value, the sequence number dictates the sequential order of revisions and these must start at #1 and follow on one another without gaps. The function will also ensure that the effective date of a revision may not be earlier than that of revisions with lesser sequence numbers or later than that of revisions with greater sequence numbers. Where 1 or more revisions have the same effective date, the record with the greatest sequence # is regarded as the currently active one.

Depending on the change control settings for the document, an approved Change proposal may be required before the addition or deletion of a revision will be permitted. When a change proposal is created to add a new revision, the current revision is "frozen" by the system and no distribution will be permitted. A user that enjoys the status of a document management administrator can however un-freeze the revision to allow distribution for purchasing or manufacturing or other purposes if deemed necessary.

The tab interfaces with the Change Proposal function and automatically sets ECP-key fields to implemented when an ECP is applied to perform an add or delete transaction.

The ECP history for a revision also becomes visible via this tab.

A linked revision can also be selected and linking of an external object (the electronic image of the document revision) can then be performed. If an object has already been linked, the object details will appear in the list "Linked objects".

An important setting to take note of is the following: When linking a document to a part number, an option exists to specify that the document revision auto-controls the revision of the part. Selecting this option on the "Document Linking" tab will imply that every time a new revision is added for the primary document sheet (0 or 1), a part revision will be auto-inserted.  If the document revision is deleted, it will auto-delete the part revision. Changes to the revision effective date will also update the part revision effective date. Also see "Document linking" tab help for more detail.
