Document Revision Status Types

The purpose of this function is to create the Document Revision Status Types that you want to use to indicate the Revision Status of a Document. In Document Master there is a Tab called Revisions with a field called Status. This field refers to the list of available active Revision Status Types that the user created in the Document Revision Status Types Function. The list of available Status Types, need to be created as part of the pre-configuration requirements, before a new Document can be loaded in the Document Master function.

 

On this tab the following fields can be viewed:

This field is used as a checkbox, to indicate if the Document Revision Status Types is active or not.  If the checkbox is ticked, the Document Revision Status Type is active and when unchecked, the Revision Status Type is not active.

The user must have a security profile linked to the function Document Revision Status Types with an access allowed of Add.  Status Type may not be spaces.  Status Description may not be spaces.  When the "Add" button is clicked, it inserts the selected data in the Document Revision Status Types table.

The user must have a security profile linked to the function Document Revision Status Types with an access allowed of Change.  Status Type may not be spaces.  Status Description may not be spaces.  When the "Change" button is clicked, changes made are updated on the Document Revision Status Types table.

The user must have a security profile linked to the function Document Revision Status Types with an access allowed of Delete.

If a specific Revision Status Type has already been linked to a new document added in Document Master, then the user will be prohibited from deleting that specific Revision Status Type. The following error will occur when trying to delete the Revision Status Type: "The revision status type cannot be deleted since it has already been applied on Document Revision. You may however set the status to inactive to prevent future use of this status type". To prevent further use of this Revision Status Type, the Status Type can be set to inactive, by un-checking the Active checkbox on the Revision Status Types function.

Only one record can be deleted from the Document Revision Status Types table at a time.

This field is used to add a new Document Revision Status Type Description.  The field elaborates more on the Revision Status Type, so the user knows exactly what the Document Revision Status entails. The Revision Status Type field has a maximum of 20 characters.

This field is used to add a new Document Revision Status Type.  The Status Type field has a maximum of 5 characters.
