Purpose
This tab is applied to specify which characteristics applies to which document types.
The tab is enabled once a document type has been selected on the function.
Whilst the table Document_Master has many fields to define and describe a document, it cannot possibly contain all the fields for all descriptive attributes that users may require to describe a document in detail.
This can be overcome by defining a number of characteristics to describe such attributes.
It is recommended that you view Characteristics and Characteristic linking to obtain details of the full capabilities and options of the functionality.
Characteristics can be described as user-defined additional fields. The user also defines the field property e.g. text, date, decimal and can allow any values to be entered or can define a number of predefined values that users must select from.
Documents in general can have a multitude of additional characteristics.
The purpose of this tab is to define which of these characteristics relate to which type of documents.
A list of all available characteristics for Documents are thus displayed, from which the ones associated with a selected document type can be linked.
Then, when characteristics are linked to documents, the system will check the document type and will only display the related characteristics for selection.
E.g. Books may have characteristics of Edition, Dewey #, 1st publication date, Publisher etc, whilst drawings may have a totally different set of applicable characteristics.
On this tab the following fields can be viewed:
Purpose This command button is clicked to change the 'Mandatory' setting for a linked characteristic.
The button will enable if a characteristic is selected in the list of 'Linked characteristics'.
Check or uncheck the box 'Mandatory' and click this button to change the value.

The list of available characteristics shows all characteristic ID's with their descriptions from the table Characteristics where the characteristic has been identified as 1 related to/allowed for the table Document_Master (in the table CHARACTERISTIC_TABLE_LINK_MODE for table Document_Master).
When 1 or more available characteristics are selected the LINK arrow button will enable and can be clicked to link the records. |
Purpose This command button ( a down-arrow) is clicked to link a selected available characteristic to a selected document type.
The button will enable if 1 or more available characteristics were selected.
Multiple characteristics can also be linked in 1 click event.
Remember to set the value for 'Mandatory' before clicking the button.

All linked characteristics as defined for a specific Document type is displayed in the list 'Linked characteristics'. The function selects the applicable records from the table DOC_TYPE_CHARACTERISTICS
To link more characteristics, select from the "available list' and click the link button (down arrow). To remove characteristics, select from this list 'linked characteristics' and click the unlink button (up arrow) |
Purpose This setting is presented as a checkbox and governs whether a linked characteristic is mandatory or not.
Checked = yes Unchecked = no
When characteristics are linked to Documents, the mandatory characteristics will be indicated to the user as defined via this setting. |
Purpose This command button ( an up-arrow) is clicked to unlink a selected characteristic from a selected document type.
The button will enable if 1 or more linked characteristics were selected.
Multiple characteristics can be unlinked in 1 click event.
