Location Master

This function records the details of all locations for which the company is responsible. These locations may be defined by type and then be put into a structure. This means that there can be locations that are buildings, some that are work stations or floors etc. and the workstations belong to a floor which in turn belongs to a building. This is done using the Parent location field.

Additional important fields are the Location property type, Location purpose type, Total square meters, Percent Occupancy and the Property ownership (leased or owned) as well as the person responsible for the location. The field Organization code is linked to Property Ownership. If the building is leased, the organization code is the organization who leases the building to us – i.e. the lessor.

The total square meters records the total space available in the location. The percent occupancy states the percentage of the total that is actually occupied at that time.

City is another critical field. It allows the user to link the supplier and the location (building) geographically as the external organization also keeps a city field.

The full time employee value must also be entered here. This data must be entered as often as it changes in order for the consumption footprint calculations to have any accurate meaning.

This function also links to the Location Master Accommodation function where many different accommodation types may be linked to a single location master record (and therefore, a single property type of the master record). This can be seen on the second sub tab called Accommodation Type.

A history of all the changes to the location master is held in the system. All the values will be read relevant to their effective date i.e. reports for August 2008 will read the values that were valid then and not the current values.

This may be seen on the last tab called Location History.

The available and linked applications are relevant only where the locations are required for use in the Equipment Base functionality. If this is the case, they must be linked to the Equipment Base

Although only the location, type and description fields are mandatory, the more complete the data is here, the better the report results for carbon footprint purposes.
