Production To Crating

This movement function serves the purpose to crate items that are due for shipping to a Customer against a specific customer order.

The crated items remain as work in progress, but achieve a progressed status of being crated (thus being marked, preserved and packed) and thus being ready for shipping.

 

Items can also be shipped from WIP via the movement Production to Customer OR directly from stock via the counter sales movement Stores to Customer.

 

This movement function is thus recommended where physical crating takes place and where a crate contents list is required to identify the contents of a specific crate number, it's destination, customer and sales order number. Via the Crate function, where crates are predefined, the crate dimensions can be entered and at the time of shipping via the movement Crating to Customer, the crate mass can also be defined. Multiple crates can also be packed into a container and the Crating to Customer movement offers functionality to ship multiple crates simultaneously and provides for additional information relating to the container, shipping agent, vehicle/vessel number and other related data.

 

The function allows users to specify the crated quantity in either the part's base (stocked) unit of measure or in the contractual unit of measure as defined on the order line where unit of measure conversions exist.

It conditionally allows for decimal quantities to be crated and even allows for dynamic unit of measure conversions at the time of crating where the conversion is subject to manufacturing processes and not necessarily a fixed ratio. (as might be the case when converting mass to length or volume to weight).

 

Once an order line is crated, the customer order line will display the crated quantity, which can be the summed value for more than 1 crate. The contents of a specific crate can be viewed on the Crate function and the list can be exported via the F1 key or can be extracted and printed via a report.

 

A ratio checker will validate that the required parts have been issued via the movement Stores to Order requirements. If a realistic quantity has not been issued according to the ratio and the order line's quantity shipped and crated, the movement will fail, unless the part's product  participates in "Auto Backflushing" of component issues (as specified on Product Master). In such scenario, all requirement parts not yet fully issued in accordance with the ratio and the order line's quantity shipped + crated, will have their stock automatically issued (back flushed) from participating stores, with the exception of lot controlled and serialised component parts.

 

Backflushing will only be done from stores where the setting, Participate in Material/Component Back flushing on Store is set.  If the setting, Div Stock Only For Back flush of this Div Order's on Division is checked (yes), back flushing will only be done from stores in the movement's division.

 

Naturally, if there is not enough stock to satisfy the requirements during back flushing, the movement will also fail, unless negative stock is allowed as governed by the setting, Allow Negative Stock on the Product Master record of a part's linked product code.

 

Since the crating of goods implies that the associated order line tasks have been executed, the function will auto-back flush order operation actual quantities complete not yet reported in accordance with the ratio and the order line's quantity shipped + crated. This will include the journals for labour credits to the cost centers involved with costed operations.

 

The user must have a security profile to which the function Production to Crating has been linked with access allowed of Inquire in order to access this function, as well as add- or change rights to apply (execute) the movement.

If focus has been attained on a Part Number cell in the grid, and the Allocations button is clicked, the Sales Allocation View for the selected part will be called, with the stock settings as defined in the View Stock Frame.

The user must have a security profile to which the function Production to Crating is linked with access allowed of Add or Change.

 

The "Apply" button is enabled when the user selects a line in the "Lines Available for Crating" list box.  When the "Apply" button is clicked, the following updates are performed:

 

1.The system validates that a valid division, customer, customer order and crate number is selected.  It also validates that the crate quantity is not less than zero.

 

2.The stored procedure, Movement_Production_Crating is executed.  The following parameters can be used by and passed to the stored procedure:

3.If the selected line is a customer special line (line type = spec), the system checks for serialised or lot controlled components that were issued to the order line.

 

4.The Ratio Checker routine is executed and applied in combination with the production ratio checker sensitivity percentage. (The sensitivity % is only applied for lines with exploded requirements. No variance is allowed for normal product- and spares sales).

 

5.The Order Line table is updated and the quantity in inspection/crated, as well as the contractual quantity in inspection/crated is updated by respectively adding the movement's "base quantity" and "contractual quantity" crated to the existing values on the order line table.

 

6.The movement is inserted into the Movement table.

 

7.If the product of a crated part participates in "Auto Backflushing" of component issues (as specified on Product Master) is selected, all requirement parts not yet fully issued in accordance with the ratio and the order line's quantity shipped + crated, will Have their stock automatically issued (back flushed) from participating stores, with the exception of lot controlled and serialised component parts.

 

8.If the customer order line has Order operations, the function will auto-back flush order operation actual quantities complete not yet reported in accordance with the ratio and the order line's quantity shipped + crated. This will include the journals for labour credits to the cost centers involved with costed operations.  
hmtoggle_plus1Concession Number

This field is applied to specify a concession number (if applicable).

Concession numbers are applied in a scenario where some deviation exists in the original agreement with the customer but where the customer has granted approval and acceptance of such deviation via the issuing of a concession.

Concessions mostly apply to a deviation in terms of the hardware (part specification) but can also be granted for other deviations such as late delivery or other terms of agreement.

It is an optional field, since no concession may apply or the concession is to be specified in the grid for selected order lines only. Selection of a concession number in this field will automatically apply the number for all selected rows in the grid. Even though automatically applied to the grid, the user will still have the opportunity to remove the number or specify a different concession number in the grid itself.

This field is applied to specify the predefined crate number (as created via the Crate function) to be used for the crating of the order line parts to be shipped.

It is not mandatory to select the crate, since the crate can also be specified in the grid for every selected order line. It is however more convenient, since selection of a crate number in this field will automatically apply the crate number for all selected rows in the grid. Even though automatically applied to the grid, the user will still have the opportunity to specified different crate numbers in the grid itself.

 

A crate number can only be selected once the Show Lines button has been clicked and 1 or more rows are displayed in the grid. The list is  populated with the crate numbers

from the Crate table where the crate's order number is the selected Customer order number and where the crate has not yet been shipped or linked to a container (container number still being blank).

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

It is populated with the organisation code and name from the table External Organisation where:

 

The organisation (customer) has a valid debtors account code and is an active debtor. (Trading status debtors = "A").

 

Once a customer has been selected, only orders for the selected customer will become available for selection. An order can be selected without the need of first selecting a customer, in which case the customer name will be displayed once the customer order number has been selected.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

This field is applied to specify the customer order to be crated for shipping. The list is populated with all customer orders that have at least 1 released production, spares, customer special or repair line where the order belongs to the selected division and, if a customer has already been specified, where the order belongs to the selected customer.

 

The list displays the customer order number and the customer name.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length".

The division must be selected and must be the sales division as specified on the Customer order(s) to be crated. Only customer orders of the selected sales division and customer will be displayed for selection. The list is populated with the division codes and descriptions from the Division table.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

If this checkbox is checked the stock is displayed for every part in the 'Lines Available For Crating' grid BUT the stock is limited to stock in store locations of the specified Division

and/or Store and will only reflect new stock that is not the property of an External organisation.

This frame contains options that will govern the criteria for customer order lines to be displayed in the Lines Available For Crating list box when the 'Show Lines" button is clicked.

 

Options are:        ' All Lines' will display all released order lines that belong to the selected customer order that have ship dates up to the date specified for the Ship Dates Till field.

 

' Only For Specific Part' will display all released order lines that belong to the selected customer order that have ship dates up to the date specified for the Ship Dates Till field BUT limited to lines where the  order line part number is equal to the specified part in the Part Number field.

 

' Only For Specific customer Part' will display all released order lines that belong to the selected customer order that have ship dates up to the date specified for the Ship Dates Till field BUT limited to lines where the  order line customer part number (external organisation part) is equal to the specified part in the Part Number field.

hmtoggle_plus1Lines Available for Crating

This grid displays all the sales order lines that are available for crating where the sales order lines belong to the selected Division, Customer and Sales order number and where the lines have ship dates not later than the specified "Ship dates till." date that was specified or defaulted.

If the "Line" option specified a specific part number or customer part number, the lines will be limited to those lines containing the specified part/customer part number.

 

The grid contains the following columns:

1.Select: Click the check box of the row(s) in the grid to be crated. Should you wish to select all the rows, click in the column heading "Select". This will auto select all the rows in the grid. The same technique can be applied to UN-select all the rows in the grid. Only selected rows will enable other fields in the grid where values can be typed or selected.
2.Line: The line number of the sales order line. To view the contract number and contract line number, scroll to the appropriate columns in the grid which are displayed further to right.
3.Crate: If a crate has been selected prior to clicking the "Show lines" button, the specified crate number will by default be applied to all selected rows in the grid. The user can however select another unshipped crate number that has been created for the same Sales order number.
4.Base quantity: This column is applied to specify the quantity to be crated and must be expressed in the part's base unit of measure as displayed in the column "Base UOM". The quantity may not exceed the balance of the order line not yet shipped or crated. Typing of a decimal quantity is conditionally permitted subject to the following validation:

IF the line type is "Non stock" or "Customer special", typing of decimals is only allowed if the order line unit of measure code (as displayed in the columns "base UOM" and "Contr UOM" allows decimal movements as defined for the UOM on it's Unit of measure record.

IF the line type is not a  "Non stock" or "Customer special", the Order line's part number (as displayed in the column 'Part number') governs whether decimals are allowed as defined for the part on it's Part master record.

Typing of the base quantity will automatically recalculate the quantity displayed in the column "Contract quantity".

5.Base UOM: This column displays the part's base UOM from it's Part master record and if the sales order line does not have a part number, the order line's UOM is displayed in this column. The "base quantity" to be crated must be expressed in this UOM.
6.Contract quantity: This column is applied to specify the contractual quantity to be crated and must be expressed in the contractual unit of measure as displayed in the column "Contr UOM". This would only be necessary for lines where unit of measure conversions apply as reflected in the different units of measure displayed in the columns "base UOM" and "Contr UOM". The quantity may not exceed the contractual balance of the order line not yet shipped or crated. Typing of a decimal quantity is permitted, but should this result in a decimal when the base quantity is recalculated, it will only conditionally be permitted as described for "Base quantity".
7.Contr UOM: This column displays the order line's contractual UOM as defined for the sales order line. The "contractual quantity" to be crated must be expressed in this UOM.
8.Locked conversion: This column contains a check box that is checked by default, thus assuming that the conversion ratio for sales lines with unit of measure conversions are fixed as defined on the sales order line and originally sourced from the Part unit of measure conversion. This holds true for fixed conversions (e.g. 1 me = 1000mm) but can however vary due to manufacturing process variations where the conversion is applied between units of measure converting, for example, mass to length or volume to mass. Therefore, should the values for the columns "Base UOM" and "Contr UOM" be the same, the option is both checked and disabled. IF the values for the columns "Base UOM" and "Contr UOM" are NOT the same, a check is performed to govern whether it is allowed to manually alter the conversion ratio for the specific transaction to be performed. The part number and contractual UOM is applied to select the rule from the table 'Part UOM Conversion', as governed by the field 'Force conversion factor'. IF yes (enforced) the option will be checked and disabled.IF no (not enforced), the option will remain checked but will not be disabled. When the user UN-checks the lock option and types a value for "base quantity" or "contractual quantity", the quantity for the other UOM is NOT automatically recalculated and must be manually specified. Once done, the field 'max conversion tolerance perc' is applied from the Part UOM conversion record as a reasonability check to determine the extent to which the newly defined conversion ratio may deviate from the specified conversion ratio.If the user remains within the tolerance, the transaction will be allowed. If the tolerance is exceeded, the transaction will not be allowed.
9.Type: This column displays the line type of the sales order line as defined on it's Order line record
10. This column displays the sales part number for the sales order line. If the line is either a non-stocked line or customer special, no part number will be displayed in this column.
11.Qty on hand: This column is only displayed if the option "Show stock" has been selected. The stock quantity is limited to stock in store locations of the specified Divisionand/or Store and will only reflect new stock that is not the property of an External organisation.
12.Line description: The description of the sales order line as defined on it's Order line record.
13.Concession number:  If a concession number has been specified prior to clicking the "Show lines" button, the specified number will by default be applied to all selected rows in the grid. The user can however specify another concession number or space out any defaulted number should a concession not apply to the line. See "Concession" for the application of concession numbers.
14.Contract number: The contract number of the selected Sales order as defined on it's Order master record.
15.Contract line: The contract line number of the sales order line as defined on it's Order line record.
16.Revision: This column only applies to product and spares sales and displays the revision number of the order line part as defined on it's Part master record.
hmtoggle_plus1Ship Dates Till

This field is applied to limit the lines of the selected customer order number to those lines due for shipping within the specified horizon. It defaults to today's date + 20 working days (thus providing a horizon of more or less 1 month in advance). The user can alter date to an earlier or later date as required, as long as the date is a valid work day. All lines with ship dates up to the specified date will be included for selection in the grid "Lines Available for Crating", if the lines are of the correct line type and status and have open quantities not yet crated or shipped.

If the Lines option 'Only For Specific Part' OR 'Only for specific Customer part' is selected, the applicable part number must be specified in this field, which will be either the order line part number or the order line external organisation item number, depending on the option specified.

 

This list displays the part numbers and their descriptions and will only display part numbers that actually exist on lines of the selected Customer order number.
