Production To Customer

The Production to Customer movement is applied to ship goods or services related to Customer orders. The movement is applied to ship selected sales order lines or the contents of a pallet.

 

To ship crates and containers, the Production to Crating and Crating to Customer movements must be applied.

To ship and bill against milestone nodes of projects, the Node Shipment movement must be applied.

To perform point of sales (Over the counter sales) directly from stock, where no formal sales contract applies, the Stores to Customer movement must be applied.

 

The Production to Customer movement provides various modes and options. To view unshipped sales order lines, the user can view all lines for a specific Customer, or limit the lines to those of a specific customer order number or part number or customer part number or pallet, with a further constraint being the "Ship Dates Until" setting.

 

If a specific part number has been selected, the user can further choose to specify an "Auto Ship Quantity", in which case the function will fill the back orders for the part in ascending date sequence until the specified ship quantity has been honored.

 

The user selects the lines to be shipped and enters a concession number and cash sale receipt number where applicable. The user then proceeds to the next tab to finalize the selection of the lines and the quantities to be shipped. The quantities can be expressed in either the base unit of measure of the order line part or in the contractual unit of measure should a unit of measure conversion apply to the order line.

 

The user will be permitted to then return to the 1st tab (Lines Available To Be Shipped) in order to select additional orders, lines or pallets to be shipped. The shipping of multiple orders via a single transaction is however subject to business rules specified per division and per customer, either allowing or disallowing a single resulting Invoice to contain lines related to multiple orders or divisions.

Even if allowed, the contractual currency of all selected Orders must be the same.

 

Once the selection has been completed and the invoice, delivery note (packing slip) and print options have been set, the shipping transactions are executed by clicking the "Apply" button.

For shipping of sales order lines that require stock issues, the stock need to be issued via the Stores to order requirements movement prior to shipping, unless settings that allow post-deduction of inventory balances (back flushing) is in place.

The function can thus perform automatic component requirements back flushing, as well as back flushing of labour credits via the Order Operation Actuals table where order lines have linked operations.

Back flushing of stock issues, if allowed, will only be performed from stores where the setting, Participate in Material/Component Back flushing is allowed for a Store. The Division setting, "Div Stock Only For Back flush of this Div Orders " governs whether stock of a specific division can fill orders from another division during the back flushing routine.

If inadequate stock exists to satisfy the stock issues to requirements during back flushing, negative stock will be allowed if the setting, Allow Negative Stock on the Part Master record of the part being issued, is allowed.

Negative stock can only be caused by back flushing.  However, irrespective of back flushing and negative stock settings, Serialised and lot controlled stock cannot be back flushed and can thus never have negative stock values.

The Part Master record also contains a setting that governs whether decimal values can be shipped.

 

Where the part/product being shipped participates in the Equipment base (to track and maintain equipment after shipping) the user will be automatically prompted to execute the shipping transaction via the Equipment Base tab on this function, providing options to create a new Equipment base record or to ship to an existing Equipment base.

 

The External Organisation record of the Customer governs the Invoice and delivery note options and whether the shipping transaction must create a new invoice, or whether lines are to be added to a new invoice not yet approved/printed.

 

When the APPLY button is clicked to execute the shipping transaction(s), the function will:

 

-Firstly check that the number of lines selected do not exceed the limitation of the SQL string built to execute the shipping via the stored procedure (normally not a problem if 100 or less lines are selected).

 

-Ship the selected lines and update the order line values for quantity complete and contractual quantity complete, and set the line status to "C" (closed) if the line has been fully shipped.

 

.Insert the movements and related movement journals to credit the WIP and debit the suspense accounts (as well as cost-of-sales journals for non-billable, zero value lines).

 

-Back flush stock issues not yet performed in relation to the quantity shipped (if settings allow for back flushing and adequate stock exists)

 

-Back flush order operation actuals for operations not yet reported as complete in relation to the quantity shipped.

 

-Calculate the tax from the order line tax code and currently valid percentage, or execute stored procedures to calculate tax via an interface to a 3rd party application such as Taxware or Vertex where applicable.

 

-Create a Debtor (accounts receivable) Invoice with shipping lines and links (or add lines and links to an existing selected Invoice) with either the same or separate numbers for the Invoice and Delivery note (packing slip) in accordance with the Customer's debtor invoice option

 

-Check the credit limit of the customer against the Credit Limit field on the External Organisation function if limited credit applies.

 

.Print approve and print the invoice if specified by the user and thus trigger the related Debtor journals to clear the suspense account and the post the Income statement journals for sales, tax sales and cost-of-sales.

 

-Print the documentation specified from either the customer's specific print library (as defined on External Organisation) or from the normal reports path to the printer(s)  with the number of copies as specified by the user via the function Print library user defaults.

The Invoice will only allow printing of 1 original copy, but multiple delivery notes can be printed to multiple printer locations.

 

.It will also update the information for any pallets that were shipped, and insert a new  Equipment base record (or add to the structure of an existing Equipment base) where applicable.

 

- Any critical errors experienced during the procedure (e.g. credit limit check, inadequate stock issued and others) will cause a total roll back of the transaction.
