The purpose of this function is to allow user defined values for "Actions Required", and "Actions Performed" which in turn interfaces with the ECP routing.

 

The table, "Request Action Translation", represents this function.  The user must add to or change the number of request/action codes provided, to suit his/her own Organisation since the options provided on the ECP routing is limited to the values and options provided by this table.

 

A "Request" can have multiple options for possible resulting "Actions".  An "Action" must be linked to one of the 'internal actions' in order to translate the free text action description to a functional value that can be logically applied by the system. A typical example would be the following:

 

Request:

(Approval required)

 

Action options:

(Proposal approved) Internal action = Approve

(Proposal rejected) Internal action = Rejected

(Not yet actioned, waiting for inputs) Internal action = Undecided

(Incorrectly sent to me) Internal action = Returned with comments

(Proposal released for implementation) Internal action = Final Approval

 

Take note, that any action linked to an internal action of "Final Approval" or "Rejected" will result in a change of the ECP status when the "Action taken" is selected.  An action no longer required or applicable can only be deleted if it has never been used on an ECP routing.  If the deletion is disallowed, the action can be suspended to prevent future use hereof.

It is populated with the action code and description from the Request Action Translation table that is linked to the Request selected.

 

The number of characters to be entered before the list is shown is governed by the value of "populate length" (mandatory).

 

When an action code is selected, the other fields on the screen are populated.

It is populated with the action code description when an action code is selected.

 

It is an alphanumeric field where the length must be between 5 and 60 characters (mandatory).

The user must have a security profile linked to the function Request And Action Translation with an access allowed of Add.

 

The "Add" button is enabled when a new action code/request code is entered.  A new action cannot be added where:

 

         The description is the same as another linked action, for the selected request,

         The internal action code is not selected,

         The action and/or request description is less than 5 characters, and

         The action and/or request code is equal to spaces.

The user must have a security profile linked to the function Request And Action Translation with an access allowed of Change.

 

The "Change" button is enabled when an existing action code/request code is changed.  An action cannot be changed where:

 

         The description is the same as another linked action, for the selected request,

         The internal action code is not selected,

         The action and/or request description is less than 5 characters, and

         The action and/or request code is equal to spaces.

The user must have a security profile linked to the function Request And Action Translation with an access allowed of Delete.

 

This operation will not be performed where there are requests, with linked actions on the ECP Routing table.

It provides the user with the following ten options, of which, only one option must be selected:

 

Return Without Action "N"

Return With Comments "C"

Return Performed "R"

Performed "P"

Approve "A"

Reject "J"
Final Approval "F"

Designer Evaluation "D"

Not Yet Action ed "U"

Implemented "I"

When a request code is selected, it is populated with the action code, action description, internal action allowed, request action status, and status from the Request Action Translation table

where the status is Active "A".

It is populated with the request code and description from the Request Action Translation table.

When checked, only actions with a status of Active "A" will be displayed in the "Linked Actions" list box.

 

When unchecked (default), all actions for the selected request will be displayed in the "Linked Actions" list box.

The action can be either active "A" or suspended "S".
