This box allows the user to filter the feedback result lines to specific Cycle Count Statuses. All options are ticked by default. The Count Status on each stock line is determined automatically by the system based on the actual quantity captured compared to the comparative quantity and tolerance settings on Cycle Count Set function.

 

If the user only selects "Not Counted", the Reason Code and Counted By fields are cleared and disabled.

 

If the user only selects "No Deviation", the Reason Code field is cleared and disabled.

Date; This field defaults to today's date.  You may specify the date the actual count was performed as the default for all the counted lines.  This date can be in the past but not less than the Active From date on Cycle Count Set function.

This date is only a default so the individual count dates for each line may be adjusted.  This date (and the count dates on the Feedback tab) may not be greater than today's date or less than the Active From date on Cycle Count Set. This date is important as it takes into account any movements that have occurred up to the date selected - which may affect the Comparative Quantity on Hand value.

Time: The Time field works in conjunction with the date field in order to default a date and time on the feedback tab of the grid. the date and time will be used together to determine the date and time counted.

Reason Code The reason code selected here will be used as a default reason code in the grid for Cycle Count adjustments. All rows in the grid where the Quantity Found deviates from the Comparative Quantity on hand must have a reason code associated with it. If Auto Adjustments are performed the Raeson code selected in the grid will be reflected in the adjustment movement.

The person reporting feedback on actual counted quantities can specify which details of the listed locations must be shown on the Feedback tab.  Enough details must be selected to uniquely identify the location against which to report feedback.  But not selecting all the details will simplify the Reporting grid on the Feedback tab.

 

The Coordinator of the run can manage which details may be selected by "hiding" some of the fields on the Cycle Count Set function.  These fields will be disabled for all other users except the Coordinator and Approval By person.  For example, the Coordinator can hide the list (i.e. theoretical) quantity on hand from the person reporting feedback.

 

ADDITIONAL TECHNICAL EXPLANATIONS OF LOCATIONS:

 

Each location in the system is uniquely identified in the Location table by the following fields (the key of the Location table):

 

Division

Store

Part Number

Location Name

Serial/Lot Number

Stock Status

Organisation which owns the stock (if spaces then your company owns the stock)

 

It is not possible for the coordinator to hide any of these fields, since the person reporting must be able to correctly identify the location record to report against.  For example, if the user were to see two rows, which look identical, except for the stock status, which is hidden, he would not know to which of the two rows he is to report the actual quantity found.

 

If any one of these key fields change, a new location, with new quantities is created.  While reporting actual count quantities, the user may change up to four of the seven key fields.  For example, you may therefore report that the correct quantity has been counted, but it resides in another location, or that the stock status is incorrect.  The system does not allow you to report a different division, store or part since it will mean that you have counted something different from what was listed.

 

By Default the settings as per the Cycle Count set will be checked when the run Id is selected..

The following are all filters used to populate the grid lines in the grid as per the selected data in the combo boxes. The selection of data in these fields are not mandatory

Part Number The combo Part Number is populated from the table Cycle Count List for the Part Number and the Part Master for the Part Description where the List Id is equal to the selected List Id

Ext Organisation Stock is populated with External Organisations from the Cycle Count List table and the External Organisation Table where the List Id is equal to the selected List Id.

Division is populated with Divisions from the  Cycle Count List table and the Division Table where the List Id is equal to the selected List Id.

Store is populated from the Cycle Count List table and the Division Table where the List Id is equal to the selected List Id. The store Combo box is only enabled once a Division has been selected.

Location is populated from the Cycle Count List  where the List Id is equal to the selected List Id.

Serial Number is populated from the Cycle Count List  where the List Id is equal to the selected List Id and the serial number column is not equal to spaces.

Stock Status is populated from the Cycle Count List  where the List Id is equal to the selected List Id. Status can be either New, Used, repaired or Waiting Repair.

Reason Code is populated from the Cycle Count List Id joined to the Cycle Count Report Id where the Cycle count has been completed and where adjustments has to be made to the stock and where the Reason code column does not contain spaces.

Counted By is selected from the the Store Employee Aces table with employees who has a profile to perform Stock Adjustments up or down. This data will be used as default data for the counted by column in the grid, else the employee that is signed on will be defaulted as the Counted by.

If this checkbox is selected, reporting and feedback can only be done against parts where no deviation exists. I.e. the counted quantity is equal to the theoretical quantity.

If this checkbox is selected, reporting and feedback can only be done against parts where a Deviation exists that requires a Stock Adjustment Down to be performed. I.e. the counted quantity is less than the theoretical quantity.

If this checkbox is selected, reporting and feedback can only be done against parts where a Deviation exists that requires a Stock Adjustment Up to be performed. I.e. the counted quantity is greater than the theoretical quantity.

If this checkbox is selected, together with any other Additional Report Criteria, reporting and feedback can only be done against parts where a "Count Comment" was entered on a Feedback line.
