On this tab the following fields can be viewed:

The user must have a security profile linked to the function System Configuration with an access allowed of Inquire and the System Configuration Ext Mail Setting function with an access allowed of Change. The "Apply" button is enabled when any of the selectable settings are changed.

 

When the "Apply" button is clicked, the following is done:

 

The Scheduled Jobs table is updated and the scheduled task settings will be changed according to the Scheduled Jobs setting.

 

If the task has not been scheduled previously the task will be scheduled according to the settings in the table.

 

If the task is actually executing when changing the settings, the execution will continue until completion or an error occurs.

 

WARNING!

 

The operating system account under which the System SQL user executes the XP_CMSHELL must have full control to the share where the database is to be dumped.

 

In the case of NT, pay special attention to the permissions for the share and on the actual directory itself.

 

The disk space used per database dump may fill up quickly which may cause future dumps to fail.

 

After successful completion of the task, the files which exceed the number of retention days selected will be deleted.

 

The removal of SQL Backup, Log Backup and External Mail Setting files that are past the number of retention days is now only done after a successful SQL Backup has been completed.  Multiple database files can be dumped to the same unc path, as the removal of files is done per database.

 

Whenever an error occurs during a SQL Backup, Log Backup or Mail backup, mail is sent to the users with change rights to the "SQL Backup", "Log Backup" and "Ext Mail Setting" screens, informing them of the error(s).  About five errors cannot be trapped programmatically, as SQL Server terminates the running process immediately, for example, when the backup path is not available/accessible.

hmtoggle_plus1External Mail Setting

The System has it's own internal mail functionality. The system automatically creates and sends electronic mail to individuals who either need to take action or need to know about the status of a business process.

 

The External Mail Setting tab enables the integration between the System internal mail functionality and other mail systems running in your company. One can therefore use the External Mail Setting tab, to specify that mail generated by the System, must be sent to a mail system outside the System.

hmtoggle_plus1Frequency(Min)

This spinner control can have a maximum value of 255 minutes.  It is used to specify the intervals in minutes between execution of the mail task.

hmtoggle_plus1Mail External Number Of Retries

This specifies the number of retries to be executed before the system administrator is automatically notified about the unsuccessful attempts.  

 

This field has a maximum length of 20 characters.

hmtoggle_plus1Mail External Post Office

It is an alphanumeric text field with a maximum length of 255 characters. Enter the IP address of the mail server.

 

If mail is to be sent to a mail system external to this Business Solution.

hmtoggle_plus1Mail External Unsuccessful Delete After Days

Any mail which could not successfully be sent to the mail system external to the System, and which is older than this specified value will be deleted automatically.

hmtoggle_plus1Mail History

Displays the status, last run date and time, run duration and message for the scheduled mail task(s).

 

Status

This is the completion Status of the scheduled job.  If the task was not successfully completed, the status is displayed in red.

 

Last Run

This is the date and time that the event is completed. It displays the last date on which the External Mail was executed.  It is sorted in descending order.

 

Duration

Displays the amount of time needed to complete the task.

 

Message

It is a description of the outcome of the task.

hmtoggle_plus1Mail Internal Interface To

Specifies whether a Mail interface is established to internal/external mail. The "Mail Interface To" may be one of the following:

 

Lotus Notes (32 bit)

Groupwise V4.X

Groupwise V5.X and later

Pegasus MHS

Pegasus (SMTP/POP)

Lotus Notes (16 bit)

Exchange

Microsoft Mail

 

Select the required mail interface from the drop down list displayed.

hmtoggle_plus1Mail Internal Interface Type

Specifies the specific mail interface type. Select the required mail interface type from the drop down list displayed.

 

If "B" Both is selected, mail generated by the System, can be read through the System mail function and the mail selected in Mail Internal Interface To.

 

The "Mail Internal Interface Type" may be Internal System Mail Only "I", External Mail Only "E", or Both "B".

hmtoggle_plus1Mail Internal (Unread) Delete After Days

Any unread mail older than the specified value will be deleted. This action will be performed when you select the Mail function.

 

This setting can have a value between 3 and 120 days. The value must be greater or equal  than Mail Internal (Read) Delete After Days.

Any read mail older than the specified value will be deleted.  This action will be performed when you select the Mail function.

 

This setting can have a value between 3 and 120 days.

When the "Refresh" button is clicked, the displayed history list will be refreshed.

 

Additionally, should the user have change rights, the actual settings for the scheduled task is, synchronised with the Scheduled Jobs table settings (I.E. what was initially shown).  Should the user not have change rights and the actual settings for the scheduled task are not in synchronisation with the Scheduled Jobs table settings, an error message will be displayed and the scheduled task will not be synchronised.

 

The same synchronisation action, as described above is also performed when the SQL Backup tab is initially displayed.

 

NOTE:

 

Due to the above mentioned synchronization, no changes should be made directly to the scheduled tasks via the SQL Enterprise Manager application other than to add totally unrelated tasks

 

I.E.

Tasks that do not perform System backups, log offloads and log transactions OR

 

Tasks that do not perform System backups, log offloads and log transactions but that do not execute the System_Dump_Database,System_Dump_Transaction_Logs, Log_Transactions, MRP_Main_Control and EIS_Run_Scheduled_Tasks stored procedures.

This setting determines if external mail should be applied.  When checked, external mail is applied.

hmtoggle_plus1Run From

It is the time from when the scheduled mail task must be executed.

hmtoggle_plus1Run To

It is the time up to which the mail task is to be executed.
